Summary/Objective

The Payroll Tax & Compliance Client Relations Specialist serves as the primary point of contact for clients navigating payroll tax obligations, regulatory compliance requirements, and related inquiries. This role combines technical knowledge of payroll tax with exceptional client communication skills to diagnose issues, deliver solutions, and foster long-term client trust. The ideal candidate thrives in a fast-paced environment, can simplify complex compliance concepts for non-technical audiences, and is passionate about delivering outstanding client experiences.

Essential Functions

  • Client Communication & Relationship Management
    • Serve as the dedicated point of contact for clients who have outstanding items regarding all payroll tax and compliance matters.
    • Proactively reach out to clients regarding upcoming deadlines, regulatory changes, and any identified discrepancies in their payroll tax filings.
    • Build and maintain strong, trust-based relationships through consistent, professional, and timely communication via phone, email, and virtual meetings.
    • Document all client interactions, issues, and resolutions accurately within Salesforce and Worklio.
  • Issue Resolution & Problem Solving

    • Investigate and resolve client concerns related to payroll tax calculations, withholding errors, amended filings, penalty notices, and jurisdictional questions.
    • Collaborate cross-functionally with internal payroll processing, tax, and compliance teams to facilitate timely and accurate resolutions.
    • Analyze root causes of recurring client issues and recommend process improvements to prevent recurrence.
    • Escalate complex or high-risk matters to Payroll Tax & Compliance Manager as appropriate, while keeping clients fully informed throughout the process.
  • Compliance Advisory

    • Collaborate cross-functionally with internal payroll processing, tax, and compliance teams to facilitate timely and accurate resolutions.
    • Proactively reach out to clients regarding upcoming deadlines, regulatory changes, and any identified discrepancies in compliance requirements.
    • Assist clients in responding to tax agency notices and audits, coordinating with appropriate internal teams.
  • Internal Collaboration & Reporting

    • Partner with account managers and implementation teams to onboard new clients and set clear expectations around compliance timelines and deliverables.
    • Provide feedback to leadership based on client trends and recurring pain points to drive continuous service improvement.
    • Prepare periodic client-facing reports summarizing tax filing status, outstanding issues, and upcoming compliance obligations.
    • Follow company policies and procedures required to comply with applicable data privacy and confidentiality requirements, including but not limited to SOC controls and HIPAA Privacy and Security regulations.
    • Other duties and responsibilities as assigned.

Preferred Education and Experience

  • 2+ years of experience in payroll tax, payroll operations, or payroll compliance — in-house, at a service bureau, or a PEO/ASO environment preferred.
  • Solid understanding of federal, multi-state, and local payroll tax regulations and filing requirements.
  • Demonstrated experience in a client-facing or account management role with a track record of resolving complex issues.
  • Proficiency with Salesforce CRM and Worklio; familiarity with other payroll platforms (ADP, Ceridian, Paychex, UKG, or similar) a plus.
  • Strong written and verbal communication skills — able to translate technical tax concepts for non-technical audiences.
  • Exceptional organizational skills with the ability to manage multiple client accounts and competing priorities simultaneously.
