Job Summary
The Logistics and Warehouse Lead is responsible for the accurate and timely coordination of daily delivery schedules, system transaction accuracy, and logistics execution. This role works closely with third-party logistics providers and cross-functional internal teams to ensure efficient, compliant, and cost-effective shipping operations while maintaining high levels of customer satisfaction.
Essential Duties and Responsibilities- Perform accurate and timely computer entry of daily delivery schedules.
- Update and maintain all logistics-related order information in the MRP system prior to shipment (excluding courier shipments).
- Coordinate with third-party logistics providers to ensure on-time, accurate deliveries.
- Provide freight quotations to internal and external stakeholders.
- Review, validate, and approve freight invoices, ensuring accuracy of rates, accessorial charges, and adherence to contractual agreements.
- Liaise with couriers, dispatch, warehouse, procurement, finance, and customer service teams to resolve service and operational issues.
- Troubleshoot and assist the shipping department with routing challenges, delivery delays, damaged goods, and shipment discrepancies.
- Communicate changes to service requirements and delivery updates as needed.
- Support operations initiatives aimed at improving efficiency, reducing costs, and enhancing customer experience.
- Proactively identify service or process issues and recommend corrective solutions.
- Monitor delivery performance and confirm all orders are delivered on time, escalating issues to the Operations Manager as required.
- Provide customers with Advance Shipping Notices (ASN) and proactive communication regarding delays or service impacts.
- Generate, maintain, and analyze reports, files, databases, and documentation related to service delivery performance and invoicing.
- Conduct quality assessments of third-party carriers to ensure regulatory compliance, route accuracy, and documentation completeness.
- Supervise, train, and delegate tasks to ensure high performance, safety compliance, and on-time delivery.
- Enforce safety standards, equipment protocols, and warehouse compliance requirements.
- Communicate ongoing or potential service issues to management for resolution.
- Perform additional duties as assigned by management in accordance with company policies and procedures.
- Participate in and comply with Span Medical Product’s Health and Safety Program.
- Post-secondary education in logistics or a minimum of three (3) years of experience in shipping/logistics coordination, preferably within a healthcare or regulated environment.
- CSCP or CLTD designation and purchasing experience are considered assets.
- Strong understanding of U.S. and international customs requirements, including:
- Commercial Invoices
- Cargo Manifests
- NAFTA Certificates
- Temporary Import Bonds
- Transportation of Dangerous Goods (TDG)
- Harmonized Tariff Classifications
- Proven experience supervising shipping and receiving operations, including loading/unloading, routing, and delivery coordination to improve OTIF metrics.
- Working knowledge of trucking logistics and load consolidation strategies.
- Familiarity with loading dock operations, tow-motor use, and warehouse safety principles.
- Strong organizational, planning, problem-solving, and decision-making skills.
- Ability to manage space utilization and workflow efficiency.
- Excellent written and verbal communication skills in English, with demonstrated ability to liaise with customers and internal stakeholders.
- Proficient in MS Office and logistics-related software systems.
- Professional office and production floor environment.
- Full-time position, Monday to Friday, 7:00 a.m. – 3:30 p.m., with a 30-minute unpaid lunch break.
- Flexibility to work overtime as business needs require.
- Routine use of standard office equipment (computer, scanner, copier, filing systems).
- Light lifting (up to 20 lbs.) and frequent use of hands and fingers.
