About the Role
Kei Concepts is looking for a Project Coordinator – Projects & Implementation to support company projects across new restaurant openings, post-opening follow-up, construction coordination, Field layout planning, equipment planning, Standard Operating Procedure rollouts, software launches, packaging projects, catering projects, and other cross-department initiatives.
This role is ideal for someone who is highly organized, detail-oriented, proactive with follow-up, and interested in growing into a stronger project leadership role. The Project Coordinator will help maintain project trackers, collect updates, prepare meeting notes, follow up on open items, and make sure project information is clearly documented and easy for the team to understand.
The right candidate should be comfortable working with restaurant Field teams, vendors, and internal departments. Restaurant operations experience is preferred, but we are open to training the right person who is organized, proactive, and willing to learn.
Key Responsibilities
Maintain Project Management boards and project trackers for assigned projects.
Track open items, owners, due dates, next steps, pending decisions, and project risks.
Follow up with internal departments, vendors, and Field teams.
Support new restaurant opening and post-opening project follow-up.
Help organize layout, equipment, construction, and Field feedback updates.
Support communication between Field Operations Team, Concepts Development Team, Marketing, IT, Accounting, vendors, and leadership.
Prepare meeting notes, project recaps, and action-item lists.
Support Standard Operating Procedure rollouts, software launches, packaging projects, catering projects, and other company initiatives.
Collect files, quotes, invoices, photos, plans, vendor updates, and approval records for reference.
Escalate delays, missing information, and decision-needed items to leadership.
Keep project communication clear, organized, and easy for others to follow.
Qualifications
1–3 years of experience in project coordination, restaurant operations, administration, construction coordination, hospitality, or a related field.
Strong organization and follow-up skills.
Clear written and verbal communication.
Comfortable using project trackers, Monday.com, Teams, Excel, Google Drive, SharePoint, or similar tools.
Ability to work with multiple departments and manage changing priorities.
Restaurant, hospitality, construction, or operations experience preferred.
Must be detail-oriented, professional, and willing to learn.
Ideal Candidate
The ideal candidate is organized, reliable, and comfortable asking questions when something is unclear. This person should be strong with documentation, follow-up, and communication. They should be able to work with Field managers and vendors while learning Kei’s project process, restaurant opening process, construction coordination, layout planning, Standard Operating Procedure rollout, and implementation structure.
Work Schedule
This is primarily an in-office and Field-support role based in Orange County, CA. The position requires regular in-person collaboration with leadership, Field teams, vendors, and restaurant locations.
After training and based on business needs, performance, and project schedule, eligible team members may have the opportunity for limited work-from-home flexibility.
