About the Role
Kei Concepts is looking for a Senior Project Coordinator – Projects & Implementation to support and help lead company projects across new restaurant openings, post-opening follow-up, construction coordination, Field layout planning, equipment planning, Standard Operating Procedure rollouts, software launches, packaging projects, catering projects, and other cross-department initiatives.
This role is ideal for someone who has strong project coordination experience and can manage timelines, organize multiple moving pieces, communicate with departments, and follow up consistently until projects are completed. The Senior Project Coordinator will work closely with leadership, Field managers, vendors, Operations, Concepts Development Team, Marketing, IT, Accounting, and construction support to keep projects moving smoothly.
This is not a pure construction project management role. The right person should understand project coordination, restaurant operations, Field execution, and implementation. They should be able to organize the details, identify open items, follow up with the correct parties, and escalate risks or decision-needed items clearly.
Key Responsibilities
Own and maintain Project Management boards and project trackers for assigned new restaurant opening and company projects.
Manage project timelines, open items, owners, due dates, risks, and pending decisions.
Coordinate with Field managers on layout, workflow, equipment needs, and operational feedback.
Follow up with vendors, departments, and internal owners to keep projects moving.
Support construction-related communication and organize updates from the Construction Coordinator.
Prepare meeting recaps with current status, decisions made, pending items, and next steps.
Support Standard Operating Procedure rollouts, software launches, packaging projects, catering projects, and process improvements.
Identify project delays, communication gaps, incomplete requests, unclear ownership, and potential risks.
Escalate issues to leadership with clear context and recommended next steps.
Ensure files, photos, plans, quotes, invoices, vendor contacts, and project references are properly documented.
Help improve project tracking, communication, and implementation systems.
Support stronger project structure by helping create checklists, follow-up systems, and clearer department accountability.
Qualifications
3–5 years of experience in project coordination, restaurant operations, hospitality operations, construction coordination, operations support, or a related field.
Strong communication and follow-up skills.
Experience managing timelines, trackers, and cross-department projects.
Comfortable working with Field managers, vendors, and department leaders.
Ability to organize complex information and summarize clearly.
Restaurant, hospitality, multi-unit operations, or new store opening experience preferred.
Experience with Monday.com, Teams, Excel, Google Drive, SharePoint, or similar tools preferred.
Ability to work independently with moderate direction and escalate issues clearly.
Ideal Candidate
The ideal candidate can work independently with moderate direction. They should be strong enough to manage open items and follow-up without being reminded, while still knowing when to escalate issues to leadership. This person should be comfortable working with restaurant Field teams, vendors, and internal departments, and should be practical, organized, calm, and solution-focused.
The Senior Project Coordinator should be able to take more ownership than the Project Coordinator level by managing project communication, identifying risks, following up independently, and helping improve the project process.
Work Schedule
This is primarily an in-office and Field-support role based in Orange County, CA. The position requires regular in-person collaboration with leadership, Field teams, vendors, and restaurant locations.
After training and based on business needs, performance, and project schedule, eligible team members may have the opportunity for limited work-from-home flexibility.
