Purpose of the Role
The People Experience Advisor supports the delivery of people-focused services that enhance employee experience, strengthen workplace practices, and ensure alignment with applicable legislation, collective agreements, and organizational policies.
Working closely with Service Managers, Service Directors and employees, this role provides guidance on policies, processes, systems, and employee lifecycle activities. The position supports recruitment, onboarding, employee relations, attendance practices, documentation management, and continuous improvement initiatives across all service locations.
Core Responsibilities
1. Employee Experience and Engagement
- Serve as a key contact for employees and People Managers, providing guidance on workplace practices and supporting a respectful and inclusive work environment.
- Conduct regular check-ins with employees to proactively identify concerns and support retention efforts.
- Support the design and delivery of engagement initiatives, recognition programs, and employee events.
- Champion continuous improvement initiatives that enhance employee experience and organizational effectiveness.
2. Employee Relations and Advisory Support
- Provide guidance on policies, procedures, and collective agreement interpretation.
- Support resolution of workplace concerns and assist with conflict management processes.
- Assist with performance-related processes, including documentation and performance improvement planning.
- Respond to escalations requiring local expertise and coordinate with appropriate internal and external partners.
3. Recruitment and Onboarding
- Support full-cycle recruitment activities, including job postings, candidate coordination, interviews, and reference checks.
- Assist in preparing offer documentation and ensuring completion of pre-employment requirements.
- Coordinate onboarding processes to ensure new employees are effectively integrated into the organization.
- Maintain onboarding records and ensure all required documentation is complete and compliant.
4. Workforce Administration and Attendance Governance
- Maintain accurate, up-to-date, and confidential employee records and documentation.
- Assist in reviewing and supporting approval of timecards to ensure accuracy prior to payroll processing.
- Support attendance governance, including monitoring attendance trends and ensuring alignment with policies and collective agreements.
- Assist in identifying and correcting discrepancies in employee records, including pay-related issues, in collaboration with appropriate internal teams.
- Support workforce planning activities related to time and attendance.
5. Systems, Knowledge Management and Self-Service
- Maintain in-depth working knowledge of all people-related systems and tools.
- Coach and guide Employees, Service Managers, and Service Directors to effectively use self-service systems.
- Assist with knowledge portal navigation and policy interpretation.
- Continuously update and improve knowledge base content to enhance accessibility and employee usage.
- Identify opportunities to streamline processes and improve system efficiency.
6. Policy, Compliance and Governance
- Ensure practices align with applicable legislation, collective agreements, and organizational policies.
- Assist in reviewing, updating, and implementing policies and procedures.
- Support development and delivery of policy-related training and awareness sessions.
- Work collaboratively with internal teams to align policies and processes across multiple locations.
7. Organizational Support and Projects
- Support organizational changes, including restructuring and workforce adjustments, in collaboration with internal and external partners.
- Participate as an active member of organizational initiatives, including training and development pillars.
- Contribute to implementation of local projects and continuous improvement initiatives.
- Assist with preparing reports and analyzing workforce data to support decision-making.
8. Retention, Travel and Employee Supports
- Support implementation and tracking of employee retention initiatives, including incentives and pay-outs.
- Assist in administering travel-related supports and allowances in accordance with organizational policies and Collective Bargaining Agreement by collaborating with Finance Department.
- Provide guidance to employees on available supports, benefits, and workplace programs.

Required Qualifications and Experience
- Diploma in Business Administration, People Administration, Psychology or Human Resources field.
- Minimum two (2) to four (4) years of progressive experience in employee relations, recruitment, and people operations is preferred.
- Strong knowledge of employment legislation and collective agreements.
- Experience maintaining employee records and supporting workforce administration processes.
- Strong understanding of attendance management and organizational practices.
- Excellent interpersonal and communication skills with the ability to build strong relationships.
- Strong organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of discretion and commitment to confidentiality.
- Professional designation (e.g., CHRP, CHRL) is considered an asset.
- Ability to speak Anishinaabemowin is considered an asset.
Conditions of Employment
- Ability to work flexible hours, including evenings and weekends as required.
- Compliance with all Agency policies, collective agreement provisions, and confidentiality requirements.
- Ability to travel occasionally within the service region.
