JOB SUMMARY
The Ambulatory Services Manager is responsible for the strategic and operational management of the Internal Medicine clinic(s). This leadership role ensures high-quality service delivery and efficient clinic operations by managing all staff, collaborating with healthcare providers, and implementing systems for continuous improvement. Oversees the provision of services to ensure alignment with the organization’s philosophy, standards, and quality goals, implementing corrective actions through the performance improvement process as needed. Maintains open and effective communication with all staff to promote a culture of quality and accountability. Develops, updates, and enforces departmental policies and procedures. Ensures the ongoing competency of all personnel through training, evaluation, and support. Responsible for budget formulation and resource planning. Provides support to the respective Director and Medical Director in developing and executing service expansion projects, marketing strategies, and other initiatives. Actively seeks opportunities for professional growth and development to enhance clinic operations in accordance with the organization’s strategic priorities.
Primary Duties and Responsibilities:
- Oversees execution of daily operation within areas of responsibility: anticipating matters of significance to the vitality within areas of responsibility, problem solving business issues, making mid-course adjustments to keep areas of responsibility progressing according to strategic plan.
- Ensures services are delivered within the service, clinical quality, and financial parameters set for within areas of responsibility.
- Makes certain that clinical quality is monitored, analyzed and addressed by the management and governing bodies of Sheridan Memorial Hospital; addresses obstacles to achieving clinical quality, service excellence and financial effectiveness targets.
- Projects: allocates and monitors the efficient utilization of human, financial and material resources.
- Assesses that tools, auditing processes, education programs and decision bodies are being used to ensure continuous state of regulatory readiness.
- Demonstrates an ability to be flexible, organized and function under stressful situations.
- Knowledge of the 5 Rights of Delegation: right task, person, communication, supervision, and circumstance.
- Attends a minimum of 75% of leadership meetings per year.
- Ability to establish and maintain rapport with a wide variety of individuals and agencies.
- Secures and maintains the physical facilities, equipment and supplies which are required to carry out effective patient care and create an optimum physical environment.
- Interacts professionally with patient/family. Consults other departments, as appropriate, to collaborate in patient care and performance improvement activities.
- Promotes effective intradepartmental and interdepartmental relationships.
Goal Setting, Outcomes Monitoring and Analysis
- Stays abreast of new innovations and trends in the areas of outpatient medical care and services; disseminating information within areas of responsibility to focus staff on evidenced-based clinical practices, management processes and supportive technology and equipment that are relevant to SMH.
- Identifies local and regional issues that influence the position within areas of responsibility in the larger community, identifies programs and services that address larger community needs and position within areas of responsibility as an active community participant.
- Sets direction and formulates strategy for programmatic growth and service delivery within areas of responsibility; develops action plan(s) for executing strategy.
- Establishes targets and processes to monitor programmatic growth, clinical quality and effective operations within areas of responsibility; utilizes internal and external data sources to evaluate the efficiency of continuing, growing, adding services and participates in business planning with other stakeholders.
- Implements management policies and practices that support an accountable work environment focused on outcome achievement.
Cultivating Physician Relationships
- Identifies trends in medical practice patterns and the potential for new physician recruitment.
- In partnership with the Medical Director, monitors physician issues and take action to analyze and address physician preferences.
- In partnership with the Medical Director, service as a liaison from administration to the medical staff practice committees and governance bodies.
- Develops communication and decision making vehicles that encourage interdisciplinary practice.
- Staff Optimization, Growth and Development
- Prepares a strategic personnel plan that addresses the short and long term staff requirements for high quality patient care delivery; works with Director of Ambulatory Services, Medical Director, and Marketing to outline a contemporary image within areas of responsibility and the related marketing campaign to attract high quality staff and prepare for new facilities.
- Ensures that Human Resource policies and practices and the actual work environment are consistent with image and marketing campaign.
- Implements a retention and recruitment strategy that maintains a ready supply of staff to deliver high quality care.
- Promotes leaders into the appropriate position that builds their skill and experiences in service within areas of responsibility and Organizational goals; provides the direction for succession planning to ensure uninterrupted leadership for areas of responsibility.
- Cultivates an integrated leadership team that encourages interdepartmental cooperation, problem solving, and service delivery.
- Evaluates and develops staff. Maintains current competencies for all staff.
Professional Development
- Maintains a viable network of industry contacts to keep current with new clinical practice and management innovations.
- Participates in organized professional organizations.
- Attends continuing education events and applies new knowledge to the administration of areas of responsibility.

- Supervisory duties and responsibilities include:
- Writes and conducts annual performance appraisals and ensures regular ongoing feedback, coaching, and communication with staff.

- Provides development opportunities for staff to broaden and enhance skills and abilities.
- Administers organization policies and procedures.
- Ensures compliance with safety policies and good housekeeping.
- Manages initial training of new employees and ongoing training as required.
- Promotes an environment that fosters team work and commitment to satisfy customer requirements.
POSITION QUALIFICATIONS
Education / Experience / License and Certifications
- Bachelor degree in management or administration, preferred.
- Minimum of 3 years supervisory experience, preferred.
- Minimum of 3 years of related experience, preferred.
- Knowledge of applicable rules, regulations, statutes, policies and procedures, and ability to determine appropriateness of compliance in situations.
