JOB SUMMARY
The ENT Clinic / Audiology Coordinator is responsible for the coordination and optimization of audiology services within the Ear, Nose, and Throat (ENT) clinic. This role supports seamless integration between audiology and ENT providers, ensuring efficient patient access, high-quality care delivery, and effective clinic operations. The coordinator serves as a central point of contact for patients, all providers, and support teams while driving performance, compliance, and patient experience.
ESSENTIAL JOB FUNCTIONS
- Clinic Operations & Workflow Integration
- Coordinate daily operations of audiology services within the ENT clinic
- Align audiology schedules with ENT provider templates to support same-day and coordinated care
- Optimize clinic flow for combined ENT/audiology visits (e.g., add-on hearing tests, post-ENT evaluations)
- Monitor schedule utilization, capacity, and access metrics, reporting daily to clinic leader
- Corresponds with patients promptly and professionally, routing or taking messages as appropriate.
- Collect and post co-pays and payments at time of service.
- Obtain, verify, and update patient demographic and insurance information at each registration.
- Maintain and update master appointment scheduling systems, ensuring additions and cancellations are communicated to the team.
- Support the implementation and ongoing optimization of the electronic medical records (EMR) system.
- Ensure all required documentation (insurance cards, consent forms, medical releases) is obtained, scanned, and filed in the EMR.
- Communicate patient-related scheduling concerns with providers and clinical staff.
- Draft and disseminate correspondence as needed.
- Greet and assist patients and visitors in a courteous and professional manner.
- Direct visitors appropriately and screen solicitors according to clinic policies.
- Request, receive, and send medical records per clinic protocols.
- Maintain organized office files and support administrative systems.
- Assist with general office cleanliness, including assigned daily cleaning responsibilities.
- Provide clerical support for billing and coding processes as needed.
- Patient Access & Care Coordination
- Manage incoming referrals for audiology services from ENT, internal and external providers
- Ensure timely scheduling of diagnostic testing, hearing aid services, and follow-up appointments
- Coordinate same-day add-on testing for ENT patients when clinically appropriate
- Maintain recall systems for ongoing care (e.g., annual audiograms, hearing aid checks)
- Serve as a patient resource for questions related to audiology services and care plans
- Provider & Interdepartmental Collaboration
- Act as liaison between audiologists, ENT physicians/APPs, and hospital departments
- Support communication and coordination for shared patients and care pathways
- Assist in onboarding and training of audiology support staff
- Coordinate coverage and scheduling adjustments to maintain clinic continuity
- Hearing Aid Program Coordination
- Oversee hearing aid program operations, including ordering, inventory, and vendor relationships
- Coordinate device fittings, follow-ups, repairs, and warranty services
- Ensure compliance with hospital policies and financial processes related to hearing aid sales
- Track program performance, including case acceptance and patient satisfaction
- Revenue Cycle & Compliance
- Ensure accurate documentation, coding, and charge capture for audiology services
- Monitor workflows for services requiring referrals or prior authorization (e.g., Medicare/CMS requirements)
- Collaborate with billing and patient access teams to resolve denials and improve reimbursement
- Maintain compliance with hospital policies, regulatory standards, and audit requirements
- Quality, Access & Performance Improvement
- Track and report key performance indicators (KPIs), such as:
- Schedule utilization and access to care
- Days to appointment
- Referral conversion rates
- Hearing aid program performance
- Patient satisfaction scores
- Identify time management and workflow inefficiencies and implement process improvements
- Support initiatives to improve patient access and clinic throughput
POSITION QUALIFICATIONS — Education, Experience and Licensure
- Bachelor’s degree in healthcare administration, business, or related field preferred
- 2–4 years of experience in audiology, ENT, or ambulatory clinic operations strongly preferred
- BLS is required within 6 months of start date
- Knowledge of medical terminology, audiology services, and CPT coding, preferred
- Experience in hospital-based or multi-specialty clinic settings preferred
