GENERAL PURPOSE:
The Office Coordinator, stationed at the front reception desk, is responsible for answering phones, welcoming guests, and informing team members of their appointments. This role involves managing various office spaces including the kitchen and conference rooms, along with handling inventory. The Office Coordinator supports company goals and objectives while establishing efficient business operations.
In this position you will:
- Oversee daily office functions to ensure a productive work environment.
- Manage the reception area, maintaining effective telephone and mail communications.
- Assist in scheduling and organizing conference room meetings and desk reservation requests.
- Supervise office space maintenance, equipment, and facilities arrangement.
- Negotiate office supplies and equipment purchases within budgetary constraints.
- Maintain office equipment, such as copiers and fax machines.
- Manage day-to-day facility operations, including key distribution and building maintenance.
- Participate in and contribute to special department projects.
- Assist in new hire onboarding and orientation.
- Support and collaborate with the Talent and Culture Team on employee experience initiatives.
- Assist with cultural development events, internal communications, and employee recognition programs.
- Serve as a primary liaison between the home office, staff, and departments.
- This position may involve handling confidential and sensitive information as part of its daily responsibilities. Employees are expected to exercise discretion and protect all sensitive data, including but not limited to personal information, loan details, business and financial records, and proprietary materials.
Successful candidates will possess:
- High School diploma or GED; associate or bachelor’s Degree preferred.
- 3+ years of relevant administrative experience
- Competent in managing calendars, handling call volumes, and arranging travel.
- Outstanding communication skills, both written and verbal
- Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
- Skilled in Adobe Creative Suite preferred but not required.
- Proficiency in Canva for flyer creations is a plus.
