Job Description
POSITION SUMMARY
The Accounting Administrator is responsible for supporting the day-to-day financial operations of SECO/WARWICK by performing a variety of accounting, administrative, and office support functions. This position assists with accounts payable, accounts receivable, expense reporting, financial recordkeeping, reconciliations, and general administrative duties while ensuring accuracy, confidentiality, and compliance with company policies.
The ideal candidate is highly organized, detail-oriented, dependable, and capable of managing multiple priorities in a fast-paced manufacturing environment.
JOB RESPONSIBILITIES
Accounts Payable
/ Process vendor invoices accurately and timely.
/ Match purchase orders, packing slips, and invoices.
/ Prepare weekly check runs and electronic payments.
/ Maintain vendor files and resolve invoice discrepancies.
/ Assist with vendor communication regarding payment status.
Accounts Receivable
/ Prepare customer invoices.
/ Process customer payments and deposits.
/ Monitor aging reports and assist with collections.
/ Reconcile customer accounts.
Accounting
/ Assist with monthly, quarterly, and year-end closing activities.
/ Prepare journal entries.
/ Perform bank and credit card reconciliations.
/ Maintain general ledger documentation.
/ Assist with account reconciliations.
/ Support budgeting and financial reporting activities.
/ Maintain organized accounting records and electronic files.
Expense Reporting
/ Review employee expense reports for completeness and policy compliance.
/ Process reimbursements through Emburse.
/ Verify supporting documentation and receipts.
Administrative Support
/ Answer phones and greet visitors as needed.
/ Maintain office supplies.
/ Prepare correspondence, reports, and spreadsheets.
/ File electronic and paper documents.
/ Assist with company events and administrative projects.
/ Provide backup support to other administrative staff.
Compliance
/ Maintain confidential financial and employee information.
/ Follow internal controls and accounting procedures.
/ Assist with internal and external audits.
/ Ensure compliance with company policies and applicable regulations.
Other Duties
/ Perform additional accounting and administrative duties as assigned.
QUALIFICATIONS
Education
/ Associate degree in Accounting, Business Administration, or related field preferred.
/ Equivalent experience may be considered.
Experience
/ 2–5 years of accounting or bookkeeping experience preferred.
/ Manufacturing environment experience is a plus.
/ Experience with ERP systems is preferred.

Physical Requirements
/ Ability to sit for extended periods.
/ Frequent use of a computer and standard office equipment.
/ Occasionally lift up to 20 pounds.
/ Ability to move throughout the office as needed.
