Action Ambulance is seeking a motivated, organized, and detail-oriented Vehicle Readiness and Inventory Coordinator to support our EMS operations. This position plays a critical role in ensuring our ambulances, equipment, supplies, and facilities are clean, compliant, organized, and ready to serve our communities 24 hours a day.

Position Summary
The Vehicle Readiness and Inventory Coordinator is responsible for maintaining ambulance readiness, conducting vehicle and equipment inspections, managing inventory and stockroom operations, generating compliance reports, identifying operational trends, and ensuring regulatory and company standards are met. This position works closely with Operations, Fleet, Logistics, and Clinical Leadership to ensure all vehicles, equipment, medications, and supplies are operationally ready at all times. This is a part-time position designed to support fleet readiness, inventory management, compliance activities, and operational support functions on a flexible schedule based on organizational needs.
Essential Duties and Responsibilities
Vehicle Readiness and Fleet Support
- Clean, detail, sanitize, and prepare ambulances and support vehicles for service.
- Conduct daily, weekly, and monthly vehicle readiness inspections.
- Ensure ambulances are fully stocked and operationally ready.
- Verify required equipment, medications, and supplies are present and functioning properly.
- Inspect medical supplies, medications, and equipment for expiration dates and compliance with company inventory standards.
- Ensure all supplies and medications meet minimum expiration requirements established by company policy.
- Remove, replace, and document expired or soon-to-expire items in accordance with company procedures.
- Monitor vehicle condition and report maintenance concerns promptly.
- Coordinate vehicle readiness activities with Operations and Fleet personnel.
- Assist with vehicle movements between stations, maintenance facilities, and operational locations.
- Support fleet replacement, deployment, and special projects as assigned.
Inventory and Stockroom Management
- Receive, organize, stock, and distribute medical supplies, medications, and equipment.
- Maintain accurate inventory records and inventory control processes.
- Monitor inventory levels and coordinate replenishment of supplies.
- Rotate inventory to minimize waste and expired products.
- Conduct routine expiration-date reviews of all inventory and ensure compliance with company standards.
- Maintain a clean, organized, secure, and efficient stockroom.
- Track high-value equipment and assets.
- Assist with annual inventory audits and reconciliation processes.
- Coordinate the removal and replacement of expired or non-compliant inventory items.
Compliance and Quality Assurance
- Conduct ambulance compliance inspections and readiness audits.
- Verify compliance with company policies, state regulatory requirements, infection control standards, and regulatory requirements.
- Audit vehicle inventories to ensure medications, medical supplies, and equipment meet company expiration-date standards.
- Monitor compliance with inventory rotation procedures and expiration-date management processes.
- Track and trend expiration-related deficiencies and develop corrective action recommendations.
- Assist with vehicle decontamination and infection prevention initiatives.
- Document inspection findings and corrective actions.
- Monitor completion of corrective actions and ensure deficiencies are resolved in a timely manner.
- Maintain documentation required for inspections, audits, and accreditation reviews.
- Support operational readiness initiatives and quality improvement programs.
Reporting, Data Analysis, and Trend Monitoring
- Generate daily, weekly, monthly, and quarterly readiness and compliance reports.
- Track and analyze inspection results, inventory findings, and compliance data.
- Identify recurring deficiencies and operational trends.
- Develop and maintain Top 10 Deficiencies reports highlighting the most common vehicle, equipment, inventory, and compliance issues.
- Monitor trends related to expired supplies, missing equipment, fleet readiness, and inspection failures.
- Provide recommendations for process improvement and corrective action.
- Assist leadership with readiness scorecards, performance metrics, and operational dashboards.
- Present findings and recommendations to management as requested.
Operational Support
- Support station readiness and facility organization efforts.
- Assist with special projects and operational initiatives.
- Participate in readiness drills and quality improvement activities.
- Provide support during special events, system surges, and emergency operations.
- Assist with fleet, logistics, and supply chain projects as assigned.
- Perform other duties as assigned.
Qualifications
Required
- High school diploma or equivalent.
- Valid driver's license with an acceptable driving record.
- Ability to safely operate company vehicles.
- Strong organizational skills and attention to detail.
- Ability to work independently and prioritize multiple tasks.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office applications, including Excel.
- Ability to generate reports and analyze data trends.
- Ability to lift and carry up to 50 pounds.
Preferred
- Fleet, logistics, warehouse, inventory management, or public safety experience.
- Experience conducting inspections, audits, or compliance reviews.
- Experience with inventory management systems.
- Experience creating reports, dashboards, scorecards, or performance metrics.

Schedule
- Part-Time Position
- Approximately 10 to 16 hours per week
- Flexible schedule based on operational needs
Daytime hours preferred
Occasional evenings, weekends, or holidays may be required to support operational readiness initiatives
