About the Role
The Mail Services Clerk performs a full range of mail center operations, including mail processing, distribution, shipping, receiving, customer service support, and handling incoming general and consumer telephone calls in support of government operations. The role ensures the secure, accurate, and timely handling of incoming and outgoing mail, accountable mail, and packages, while maintaining compliance with established procedures, security requirements, and performance standards. This position is a key member of the site operations team and contributes to mission success by delivering reliable service, maintaining accurate records, and supporting operational continuity.
Essential Duties and Responsibilities
Mail Processing and Distribution
- Receive, sort, and distribute incoming mail, packages, and accountable items.
- Prepare outgoing mail for shipment using USPS, UPS, and other carriers.
- Verify proper addressing, labeling, and postage.
- Process certified, registered, express, and accountable mail types.
- Maintain chain-of-custody documentation.
- Perform scheduled mail pickups and deliveries.
Shipping and Receiving
- Receive, inspect, and log incoming packages.
- Coordinate delivery to recipients.
- Prepare packages for shipment.
- Maintain shipping logs and tracking data.
- Support bulk mailings and special projects.
Customer Service
- Provide professional customer service.
- Answer and appropriately route incoming general and consumer telephone calls.
- Respond to mail and shipping inquiries.
- Assist with packaging and shipping requests.
- Communicate with management on service issues
Records and Reporting
- Maintain accurate logs and records.
- Track mail volumes and shipment activity.
- Assist with operational reports.
- Ensure compliance with documentation requirements.
Operational Support
- Maintain inventory of supplies.
- Support office moves and special projects.
- Maintain clean and safe work environment.
- Cross-train in related functions.
- Perform other duties as assigned.
Minimum Qualifications
- High School Diploma or equivalent.
- Ability to lift up to 70 pounds.
- Ability to perform physical tasks.
- Must be a U.S. citizen and able to obtain a public trust clearance.
Required Knowledge, Skills, and Abilities
- Knowledge of mail processing procedures.
- Familiarity with USPS, and UPS.
- Strong organizational skills.
- Attention to detail.
- Effective communication skills.
- Ability to follow procedures.
- Proficiency in Microsoft Office.
