About the Role:

We are looking for a Diamonds and Gemstones Administrator to join our team. Although this position supports Rio Grande, it will be physically based at our parent company within the Richline office in New York. Candidates must live in or be able to commute to the New York area.

This role supports the day-to-day operations of our diamonds and gemstones department by processing orders, managing customer communications, and ensuring our customers receive timely and accurate service. It is ideal for someone who is organized, detail-oriented, and enjoys working in a collaborative environment where precision and reliability are valued.

What You Will Do:

• Process special orders, customer orders, and non-web orders with accuracy and attention to detail

• Handle returns and exchanges while maintaining clear and professional communication with customers and internal teams

• Manage the Diamonds and Gemstones inbox and direct phone line, ensuring timely and thorough responses

• Assist in preparing and packaging orders for shipment

• Occasionally complete short local shipping runs (USPS, UPS, FedEx, etc.) within a one-mile radius • Create purchase orders and assist with vendor communication

• Support inventory coordination and purchasing processes as needed

Qualifications:

Two or more years of administrative or order-processing experience; jewelry or luxury goods background preferred

• GIA certification or related gemstone and diamond training preferred

• Strong attention to detail, organization, and follow-through

• Excellent written and verbal communication skills

• Experience with HubSpot and SAP preferred

• A proactive, team-oriented approach and a willingness to help where needed

• Ability to commute daily to the Richline office in New York (driver’s license not required)

Salary Range:

$41,600 - $52,000
