Job Description
Police Records Clerks perform administrative and clerical duties in the central records bureau of the police department under the direct supervision of a Sergeant or a designee of the Chief of Police. These duties entail direct interaction with members of the public, computer data entry, filing, and some courier duty to other government buildings.
Starting rate for this position is $19.12/hour with an excellent benefit package that includes health, dental, vision, & life insurance, paid time off, plus an IMRF pension.
- Computer data entry, file, copy, and other clerical duties as directed by the Chief of Police or his/her designee.
- Operate a cash register, taking fine money, and providing correct change.
- Notify other police personnel of their court commitments.
- Code, log, complete crime report forms and state fingerprint cards.
- Complete parking complaints and notices-to-appear.
- Fulfill legal demands for copies of reports and other official documentation.
- Compile statistical reports on the activities of the police department.
- Disseminate police reports and other official documentation.
- Provide criminal history and driver’s abstract data to authorized persons and agencies.
- Carry outgoing and incoming correspondence to and from support agencies and other government offices.
- Effectively work with the States Attorney’s office for Court notifications, digital evidence (BWC, Squad and Taped statements) and other documents needed for prosecution.
- Log court dispositions.
- Maintain the department’s paper filing system.
- Perform all duties in a courteous and polite manner.
- Performs other duties as assigned.
- High School Diploma or GED required.
- Competent keyboarding skills necessary to efficiently perform the duties of the position.
- Good computer skills.
- By the end of a 90-days, must possess strong knowledge of safety rules, laws and ordinances.
- Must meet the State of Illinois requirements for LEADS less-than-full access certification and hold such certification throughout the course of their employment.
- Must be able to maintain confidentiality of departmental matters.
- Experience with records filing preferred.
