Job Title: Talent Acquisition Specialist

Reports To: Vice President of Human Resources

FLSA Status: Exempt

Work Location: Corporate Office – Wilmington, NC (Hybrid)

Position Summary

The Talent Acquisition Specialist serves as the Company's primary talent acquisition professional responsible for administering recruitment operations, advising management on hiring strategies, conducting compensation and labor market analyses, and supporting workforce planning initiatives. This position exercises independent judgment in administering recruitment programs, evaluating market trends, recommending compensation ranges, analyzing workforce metrics, and partnering with leadership to ensure the Company attracts and retains qualified talent while maintaining competitive hiring practices.

The Talent Acquisition Specialist serves as the primary administrator for the Company's Applicant Tracking System (ADP Recruitment) and Indeed recruiting platform while managing recruitment activities for hourly, salaried, and management positions across multiple states. The position partners with Human Resources and Operations leadership to develop effective recruitment strategies, improve hiring processes, and provide workforce data that supports informed business decisions.

Essential Duties and Responsibilities

Talent Acquisition & Recruitment

  • Manage the Company's full-cycle recruitment process for hourly, salaried, and management positions across multiple states.
  • Develop recruiting strategies that support current and future workforce needs.
  • Create, post, and maintain employment opportunities utilizing ADP Recruitment, Indeed, and other approved recruiting resources.
  • Partner with hiring managers to identify recruiting needs, establish hiring strategies, and provide guidance throughout the recruitment process.
  • Review applications, coordinate interviews, and facilitate candidate communications throughout the hiring process.
  • Prepare and distribute employment offers for hourly and salaried employees.
  • Ensure recruiting activities comply with Company policies and all applicable federal, state, and local employment laws.
  • Recommend process improvements that enhance the candidate experience and recruiting efficiency.

Recruitment Systems Administration

  • Serve as the primary administrator for ADP Recruitment and Indeed Employer.
  • Maintain recruiting workflows, job requisitions, templates, user permissions, and system configurations.
  • Train hiring managers on recruiting systems, applicant management, interviewing best practices, and hiring procedures.
  • Troubleshoot recruiting system issues and coordinate with system vendors as necessary.
  • Evaluate recruiting technology and recommend enhancements that improve efficiency and reporting capabilities.

Background Screening & Hiring Administration

  • Coordinate all pre-employment background screenings for external candidates.
  • Administer background screenings for internal promotions and transfers.
  • Review screening results and advise Human Resources leadership regarding employment eligibility concerns.
  • Coordinate Safe Access administration for new hires, internal promotions, and authorized users.
  • Ensure all required hiring documentation has been completed prior to onboarding activities.

Compensation Analysis & Market Research

  • Conduct compensation analyses by evaluating internal pay practices and external labor market data.
  • Research salary information utilizing compensation surveys, labor market resources, industry benchmarking, government wage data, and publicly available salary databases.
  • Develop salary recommendations for new positions, promotions, organizational restructuring, and market adjustments.
  • Evaluate internal pay relationships to support equitable and competitive compensation practices.
  • Assist Human Resources leadership with maintaining and updating salary structures and compensation ranges.
  • Present compensation findings and recommendations to Human Resources leadership to support strategic compensation decisions.

Recruitment Analytics & Workforce Reporting

  • Develop and maintain recruiting dashboards and workforce analytics.
  • Collect, analyze, and present recruitment data to Human Resources and executive leadership.
  • Monitor and report key recruiting metrics including:
    • Time-to-Fill
    • Time-to-Hire
    • Cost-per-Hire
    • Offer Acceptance Rate
    • Applicant Flow
    • Source Effectiveness
    • Open Position Aging
    • Recruiting Funnel Metrics
  • Analyze hiring trends and labor market conditions to identify opportunities for improving recruitment effectiveness.
  • Develop executive reports and presentations summarizing recruiting performance and workforce trends.
  • Recommend data-driven improvements to recruiting processes based on workforce analytics and market research.

Strategic Partnership

  • Advise hiring managers regarding recruitment strategies, labor market conditions, and hiring best practices.
  • Exercise independent judgment in determining recruiting priorities, sourcing strategies, and recruitment recommendations.
  • Partner with Human Resources leadership on workforce planning initiatives.
  • Assist with organizational design projects, position evaluations, and workforce planning activities.
  • Participate in special Human Resources projects as assigned.

Qualifications

Education

  • Bachelor's degree in Human Resources, Business Administration, Management, or a related field preferred.
  • Equivalent combination of education and experience may be considered.

Experience

  • Three or more years of experience in Talent Acquisition, Human Resources, or Recruitment.
  • Experience administering an Applicant Tracking System (ATS), preferably ADP Recruitment.
  • Experience utilizing Indeed Employer or comparable recruiting platforms.
  • Experience conducting compensation analysis or salary benchmarking preferred.
  • Experience developing reports utilizing Microsoft Excel and HR reporting systems preferred.

Knowledge, Skills & Abilities

  • Comprehensive knowledge of recruiting principles, employment practices, and talent acquisition strategies.
  • Working knowledge of compensation administration and salary benchmarking methodologies.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Ability to interpret workforce data and provide meaningful recommendations.
  • Advanced proficiency in Microsoft Excel and Microsoft Office applications.
  • Excellent written and verbal communication skills.
  • Strong presentation and report development skills.
  • Ability to influence and advise managers while building collaborative working relationships.
  • Ability to exercise discretion and independent judgment in matters involving recruiting, compensation, and workforce planning.
  • Ability to manage multiple priorities within a fast-paced, multi-state organization.
  • Ability to maintain confidentiality while handling sensitive applicant, compensation, and employment information.

Physical Requirements

  • Prolonged periods of sitting and working at a computer.
  • Occasionally lift and carry up to 20 pounds.
  • Ability to travel occasionally for recruiting initiatives, career fairs, training, and business meetings.

Work Environment

  • Hybrid work arrangement consisting of both in-office and remote work.
  • Professional office environment with regular interaction with executive leadership, hiring managers, and applicants.
  • Occasional evening or weekend work may be required to support recruiting initiatives or business needs.
