Participant Marketing Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Participant Marketing Coordinator based in United States.

The Participant Marketing Coordinator will manage recruitment marketing activities across multiple clinical trials, helping ensure studies launch on time and achieve enrollment objectives.
This role sits at the intersection of project management, marketing operations, financial coordination, and clinical research.
You’ll coordinate closely with site operations, regulatory teams, sponsors, CROs, finance, business development, and external vendors.
The position offers the opportunity to oversee recruitment campaigns from study award through launch and ongoing performance tracking.
You’ll manage budgets, timelines, approvals, vendors, and participant-facing materials while ensuring regulatory and sponsor requirements are met.
Success will depend on strong organization, proactive communication, attention to detail, and the ability to manage multiple priorities simultaneously.
This is a fully remote opportunity with meaningful visibility into clinical trial operations and participant recruitment strategy.

Accountabilities:
  • Coordinate participant recruitment start-up activities for assigned clinical trials, managing timelines, milestones, launch readiness, documentation, and cross-functional communication.
  • Develop and maintain recruitment project plans, proactively identifying risks, resolving delays, and ensuring marketing deliverables are completed before study activation.
  • Manage sponsor-funded recruitment budgets, including budget development, expenditure tracking, forecasting, purchase requests, purchase orders, invoices, reconciliations, and supplemental funding requests.
  • Monitor recruitment performance and prepare budget analyses, business justifications, and reporting for leadership and external stakeholders.
  • Serve as an operational point of contact for sponsors and CROs, coordinating recruitment strategies, materials, approvals, status updates, and budget communications.
  • Prepare and coordinate participant-facing recruitment materials for regulatory and sponsor review, maintaining approval records, version control, amendments, and expiration dates.
  • Manage external vendors including creative agencies, digital advertising providers, print suppliers, translation services, promotional vendors, and community outreach partners.
  • Coordinate the development, production, approval, and distribution of flyers, brochures, posters, referral materials, direct mail, event signage, community outreach materials, and other recruitment assets.
  • Maintain reporting on study launch timelines, campaign status, budget utilization, funding requests, vendor performance, approvals, marketing ROI, and operational metrics.
  • Partner with internal teams to identify process improvements, strengthen operational efficiency, standardize workflows, and support successful participant enrollment.
Requirements:
  • Bachelor’s degree in Marketing, Business Administration, Healthcare Administration, Communications, Clinical Research, or a related discipline is preferred.
  • 2–5 years of experience in project coordination, marketing operations, clinical research, healthcare administration, or a closely related field.
  • Experience with clinical study start-up, participant recruitment, sponsor-funded budgets, or vendor management is strongly preferred.
  • Strong project management and organizational skills, with the ability to coordinate multiple concurrent study launches and competing deadlines.
  • Experience managing budgets, tracking expenditures, forecasting costs, processing invoices, and coordinating financial documentation.
  • Strong written and verbal communication skills, with the ability to collaborate effectively across clinical operations, regulatory, finance, business development, sponsors, CROs, and external partners.
  • Excellent attention to detail and the ability to maintain accurate documentation, approval records, timelines, and reporting.
  • Ability to identify operational risks, proactively resolve issues, and keep complex projects moving forward.
  • Comfortable working independently in a remote environment while maintaining strong relationships with distributed teams and external stakeholders.
  • A working understanding of clinical research, participant recruitment, regulatory submissions, and marketing compliance is advantageous.
