We are seeking a detail-oriented and dedicated Medical Records Coordinator to join our team, ensuring the integrity and security of our medical records while providing exceptional support to residents and staff.


As a Medical Records Coordinator, you will be responsible for managing and securing both electronic and written medical records, ensuring compliance with all relevant regulations, including HIPAA and PHI privacy standards. You will play a critical role in maintaining the accuracy and standardization of medical records, conducting audits, and providing coding compliance training to clinical and billing staff. Your ability to handle sensitive information with discretion and your commitment to a resident-centered approach will be key to your success in this role.

Onsite position with a wage range of $22-$28/hr. based off years of applicable experience

Key Responsibilities:

  • Record Management: Maintain and ensure the security of electronic and written medical records, including databases and operational capabilities. Troubleshoot any issues that arise.
  • Quality Assurance: Analyze, review, and audit medical records to ensure standardization. Manage active, archived, and destroyed records according to established protocols.
  • Compliance & Training: Develop and report on Health Information Management (HIM) quality assurance measures. Ensure coding compliance, conduct coding training, and serve as a resource to billing specialists and clinical staff.
  • Policy & Procedure Development: Assist clinical staff in developing and refining standards, policies, procedures, and process improvements related to medical records.
  • HIPAA Compliance: Ensure compliance with HIPAA and PHI privacy standards. Develop and conduct relevant training and orientation for staff.

Required Qualifications:

  • Education: Associate's degree or equivalent technical school completion of a certified coding or health information management program, or a combination of education and experience.

  • Experience: Certified Coding Specialist, Certified Professional Coder with ICD-9-CM and CPT coding experience preferred. Experience in healthcare electronic records management and familiarity with Minimum Data Set (MDS) required. Proficiency with PCs, MS Office Suite, and electronic medical records is essential.

Knowledge, Skills, and Abilities:

  • Coding Principles: Strong understanding of coding principles and ability to train clinical and clerical staff.
  • Policy Evaluation: Competent in evaluating policies and procedures related to medical records management.
  • Billing & Reimbursement: Knowledge of healthcare billing and reimbursement processes, including Medicare, Medicaid, L&I, and commercial insurance.
  • HIPAA Compliance: Thorough understanding of HIPAA standards and medical records management.
  • Interpersonal Skills: Strong analytical, problem-solving, communication, customer service, and organizational skills.
  • Technical Proficiency: Competent in using PCs, software, and electronic medical records systems. Effective phone system usage is also required.
