Job Overview:

The Office Administrator is a pivotal role that supports the daily operations of the Wildlife Lubbock facilities by managing administrative tasks, processing purchase invoices, and serving as a point of contact for both internal staff and external vendors. This position ensures a well-organized, efficient office environment while also supporting HR-related processes and vendor coordination. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple responsibilities with professionalism and discretion.

Key Responsibilities:

Accounts Payable & Purchasing

  • Process purchase order invoices accurately and in a timely manner.
  • Handle all purchase invoices related to the Lubbock facilities.
  • Reconcile company credit card statements and ensure alignment with internal budgeting processes.
  • Coordinate with suppliers for routine and one-off purchasing needs (e.g., UPS, cleaning supplies, copier paper).

Office Management

  • Serve as the primary point of contact for general office operations.
  • Manage office supply inventory and place orders for everything from cleaning supplies to printer/copier materials.
  • Answer incoming calls and direct them appropriately to relevant departments or personnel.
  • Coordinate facility needs, including equipment maintenance and service calls management (copiers, phones, etc.).
  • Assist with basic IT setup and troubleshooting; support Corporate IT team as needed with internet and equipment installations coordination.

HR & Employee Support

  • Act as liaison for employees with HR-related questions, including topics such as handbook questions, payroll, benefits, and 401(k) enrollment.
  • Assist in the processing of the following onboarding tasks for new employees:
    • Schedule drug screening checks as required.
    • Coordinate onboarding logistics with new hires, managers, and corporate HR to ensure smooth onboarding experiences.
    • Complete online I-9 forms and other compliance-related documents as needed.
    • Enroll new employees into the ADP time clock.
    • Set up key fobs and building access for new employees.

Company Culture & Events

  • Serve as the primary organizer for company events and celebrations, including holiday parties and employee appreciation activities coordinating with the corporate office as needed.
  • Support internal communication efforts and foster a positive workplace environment through coordination of cultural initiatives with plant management and corporate office.

Preferred Qualifications:

  • 2+ years of experience in office administration, HR assistant, or accounting support, preferably in a manufacturing or logistics environment.
  • Strong understanding of accounts payable processes and office management systems.
  • Strong communication and interpersonal skills, with the ability to interact effectively with truck drivers, employees, and management.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry systems, familiarity with accounting or ERP systems is a plus.
  • Strong interpersonal skills with the ability to build and maintain relationships across departments and locations.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • Knowledge of shipping/receiving procedures and HR onboarding processes is a plus.
