This role plays a critical operational support function within a fast-paced real estate transaction environment, ensuring that deals progress smoothly from execution through to closing. You will work closely with transaction and closing teams to maintain accuracy, organization, and timely communication across multiple stakeholders. The position requires strong attention to detail, excellent bilingual communication skills, and the ability to manage multiple priorities simultaneously. You will support both administrative and system-based tasks, ensuring transaction data and documentation are consistently up to date. Beyond day-to-day execution, the role also contributes to improving workflow efficiency through technology adoption and process support. This is a highly collaborative position where reliability and precision directly impact transaction success and client satisfaction.
In this role, you will support the transaction and closing teams by managing administrative workflows, maintaining data accuracy, and ensuring smooth communication across agents, clients, and internal departments.
- Assist transaction and closing teams with administrative, operational, and documentation-related tasks.
- Monitor, prioritize, and respond to incoming emails and internal requests in a timely and professional manner.
- Follow up with agents, notaries, and external stakeholders to obtain missing documentation and ensure transaction completeness.
- Maintain and update transaction tracking systems, spreadsheets, and internal databases with high accuracy.
- Support data entry and system management using platforms such as eZmax, BrokerWolf, Skyslope, and BackOffice.
- Assist with deposit verification, file preparation, and pre-payout processing activities.
- Ensure clear, professional communication across all stakeholders to support seamless transaction flow.
- Help manage workload distribution and support backlog reduction during peak operational periods.
- Contribute to maintaining organized, compliant, and audit-ready transaction records.
- Participate in additional administrative and operational tasks as required.
- Support technology adoption by assisting with platform usage, troubleshooting, and agent enablement.
- Contribute to training initiatives and knowledge sharing related to systems and transaction processes.
- Provide feedback on system usability and operational challenges to support continuous improvement.
This role requires strong organizational skills, bilingual communication ability, and comfort working in structured, detail-driven operational environments with multiple systems and deadlines.
- Bilingual proficiency in English and French (written and spoken) is required.
- High school diploma or equivalent experience; post-secondary education is an asset.
- 1–3+ years of experience in administrative support, operations, real estate, or transaction coordination preferred.
- Strong attention to detail with the ability to manage high volumes of transactional data accurately.
- Experience working with CRM, transaction management, or document processing systems (eZmax, Skyslope, or similar tools is an asset).
- Comfortable working in fast-paced environments with shifting priorities and tight deadlines.
- Strong written and verbal communication skills with a customer-service mindset.
- Ability to work independently while remaining highly collaborative in a team setting.
- Strong problem-solving skills with the ability to follow structured processes and identify issues proactively.
- Tech-savvy with the ability to learn and navigate multiple digital platforms quickly.
