Position Summary:
The RCM Office Clerk provides administrative and operational support to the Revenue Cycle Management (RCM) department by accurately processing and routing daily incoming correspondence, including mail, faxes, and emails, for multiple states. The position is responsible for preparing and processing paper claims and Explanation of Benefits (EOBs), completing daily patient payment and credit card transactions, preparing bank deposits, and assisting with various RCM administrative functions.
The RCM Office Clerk must demonstrate strong attention to detail, organization, time management, and customer service skills while working in a high-volume environment. The team member is expected to process transactions and documentation accurately, timely, and in accordance with established procedures while maintaining strict confidentiality and complying with HIPAA, patient privacy, payment security, and organizational policies and procedures. Responsibilities may vary based on departmental priorities and operational needs.
Key Responsibilities
· Perform day-to-day administrative and clerical functions supporting the Revenue Cycle Management department.
· Sort, date-stamp, organize, and appropriately route daily incoming mail for multiple states.
· Sort and route incoming faxes for multiple states to the appropriate RCM team or department.
· Monitor and route incoming internal emails and correspondence to the appropriate team members.
· Print, sort, and prepare paper HCFA/CMS-1500 claims and EOBs for mailing to insurance carriers and other stakeholders.
· Process daily patient credit card payments and other assigned payment transactions accurately and in accordance with established procedures.
· Prepare and process daily bank deposits, including verification and required documentation.
· Assist with reconciliation and documentation of payment and deposit activity, as assigned.
· Scan, index, upload, file, and maintain RCM-related documentation in accordance with departmental procedures, when applicable.
· Identify and appropriately escalate urgent, incomplete, misdirected, or time-sensitive correspondence.
· Assist RCM staff with administrative tasks, documentation, claim-related correspondence, and special projects.
· Maintain organized and accurate electronic and paper records.
· Provide professional and responsive customer service to internal staff and other stakeholders.
· Protect patient and company information and maintain strict confidentiality in accordance with HIPAA and organizational policies.
· Follow established procedures for handling payment information and other sensitive data.
· Meet established productivity, accuracy, turnaround-time, and quality standards while processing a high volume of transactions.
· Perform other duties and assignments as needed to support RCM department operations.
Required Knowledge and Skills
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office applications and 10-key data entry.
- Ability to learn and effectively use electronic health record (EHR).
- Working knowledge of HIPAA, patient privacy, and confidentiality.
- Excellent organizational and problem-solving abilities.
- Ability to multitask and prioritize duties with frequent interruptions.
- Ability to work independently while recognizing when issues require clarification or escalation.
- Professional demeanor and commitment to teamwork.
- Ability to adapt to changing departmental priorities, procedures, and operational needs.
Education/Licensure/Technical Requirements.
· 1 year Medical Office experience with specialty biologic/infusion clinic preferred.
· High School diploma or GED
· Ability to meet U.S. employment and eligibility requirements.
The pay range for this role is:
18 - 20 USD per hour(Sandy HQ)
