About This Position

As the Administrative Assistant to the Associate Vice President of People and Workplace Culture, you will play a central role in supporting the leadership and operations of the People and Workplace Culture team. This position requires a proactive, detail-oriented professional who can anticipate needs, manage priorities, and ensure seamless day-to-day administrative support.
You will help leaders stay focused on strategic initiatives by resolving administrative challenges before they arise and adapting to a dynamic, fast-paced environment. The ideal candidate is self-motivated, technologically resourceful, and thrives in a collaborative setting.
Key to success in this role is the ability to maintain strict confidentiality, demonstrate sound judgment, and communicate with professionalism—especially when engaging with senior leaders both within and outside the College. For example, professionalism in email etiquette includes using respectful and clear language, responding promptly, and safeguarding sensitive information.
This role calls for someone who can think strategically, act independently, and contribute positively to an ever changing culture of trust, inclusion, and excellence.

Communication & Collaboration:
  • Effectively communicate and collaborate with people and job functions.
  • Excellent communication and interpersonal skills; proven ability to take initiative and build strong, productive relationships.
  • Ability to communicate professionally, with proper grammar, in both in oral and written format, which includes compiling, writing, and editing quality finished memorandum, correspondence, reports, etc.
  • Strong organizational and communication skills, team orientated philosophy and problem-solving skills.
  • Ability to professionally greet visitors and guests.
Stress Management & Confidentiality:
  • Ability to represent the College and handle stress in an office environment; knowledge of specific office and college policies, procedures and operations.
  • Ability to consistently and positively contribute in a high-paced, changing work environment with the ability to prioritize multiple functions and tasks and manage work time efficiently.
  • Ability to adhere to an expectation of complete confidentiality on all business matters.
Business & Office Management:
  • Experience with Microsoft products (Outlook, Word, Excel, PowerPoint, Excel, etc.).
  • Ability to follow oral and written procedures and manage multiple projects; ability to research and analyze information; ability to take notes.
  • Strong knowledge of business English, math, spelling, punctuation, vocabulary, filing, general office methods and procedures.
  • Knowledge of how to schedule meetings and manage calendars using Outlook or similar technology.
  • Ability to organize paperwork, data and projects.
  • Knowledge of basic budgeting principles and actions, including how to process fiscal and budgetary documents such as office requisitions, inventories, employment records, and budget/purchasing reconciliations.
  • Experience using an office phone system and online workplace application.
Teamwork & Adaptability:
  • Must demonstrate passion and enthusiasm for workplace culture and a positive employee experience.
  • Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
  • Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.

  • Associate’s degree or two years post high school.
  • Two (2) to five (5) years of related full-time experience.
  • Trade off 1:1 in experience/education requirement.

  • Proven experience in executive-level administrative support, preferably in HR or higher education.
  • Event planning, scheduling, ordering and billing.
  • Writing and/or editing formal communication.
  • Managing multiple department budgets and inventory of supplies.
  • Maintaining complex Outlook calendars and scheduling.
  • Using discretion by upholding personal and departmental integrity in all confidential settings
  • Adaptability and flexibility in a dynamic, fast paced environment.
