Job Description

Philadelphia Dentistry - 1601 Walnut St #1302. Philadelphia, PA 19102

Monday-Thursday 7:15am-5pm, Friday 7:15am-1pm

The Front Desk role is a core administrative position within a single dental practice, responsible for supporting daily front-office operations and delivering a positive patient experience. This role focuses on patient intake, scheduling, communication, insurance verification, and payment processing to ensure efficient workflows and accurate records. The Front Desk role operates under the direction of the Office Manager or Office Manager Assistant and works closely with clinical and administrative team members.

Key Responsibilities

Front Office Operations
  • Greet and welcome patients and visitors in a friendly and professional manner.

  • Register new patients and update existing patient information in practice management systems.

  • Schedule appointments and manage the daily appointment calendar.

  • Complete recalls and patient callbacks to support schedule utilization.

  • Answer incoming phone calls, respond to inquiries, and route calls appropriately.

Patient Communication & Experience
  • Serve as a primary point of contact for patients regarding scheduling, general inquiries, and administrative questions.

  • Maintain a professional, courteous, and patient-focused demeanor at all times.

  • Escalate complex or sensitive patient concerns to the Office Manager or Office Manager Assistant.

Insurance & Payments
  • Verify dental insurance eligibility and coverage prior to patient visits.

  • Collect patient payments at time of service and issue receipts as required.

  • Assist with basic insurance billing support and documentation as directed.

Records & Documentation
  • Maintain accurate and up-to-date patient records.

  • Ensure confidentiality of sensitive patient and financial information.

  • Follow HIPAA guidelines and company policies related to data privacy and security.

Qualifications

  • 2+ years of experience in a dental or medical front office environment preferred.

  • Strong organizational skills and attention to detail.

  • Proficiency with dental practice management software and Microsoft Office.

  • Excellent verbal and written communication skills.

  • Ability to multitask and prioritize in a fast-paced environment.

  • High school diploma or equivalent required.
