SCHEDULE
Full-time, including holidays and weekends. May need to be flexible in order to meet the needs of the shelter.

ABOUT GATEWAY WEST
Gateway West is the City’s largest shelter and serves an average of 600 people per night, with cold winter nights bringing in more than 700 people. The shelter offers a safe and welcoming environment to men and women experiencing homelessness in Albuquerque. The center is open year-round, offering meals, a warm bed, and secure under-bed storage. Shuttle service is provided daily. Gateway Center provides low, barrier, trauma-informed overnight beds for transition to housing. The shelter provides easy access to services needed for case management, job searching, and other supportive services. Success is an exit to safe, stable housing, and a plan for ongoing support.

WHAT MAKES YOU A GREAT INTAKE SUPERVISOR?

  • Data Management and Reporting: You know how to use a Homeless Management Information System (HMIS) or similar client management systems. You are skilled at generating reports and tracking shelter occupancy data for internal and external stakeholders.
  • Trauma-Informed Care: You believe in the importance of trauma-informed care in supporting participants and are equipped to recognize the impact of trauma on individuals’ experiences and behaviors, and actively implement practices that promote safety, empowerment, and healing. You foster an environment of trust and respect that plays a vital role in helping the participants navigate their challenges and work towards stability and recovery. You engage with empathy and apply trauma-informed principles to create a supportive community where everyone feels valued and understood.
  • VI-SPDAT Administration: You can administer the Vulnerability Index-Service Prioritization Decision Assistance Tool (VI-SPDAT) to assess needs and prioritize services for participants, engaging with the Continuum of Care for coordinated entry.
  • Resource Coordination: You connect participants with appropriate community resources and services, such as housing, healthcare, mental health support, and employment opportunities, to facilitate their transition to stable housing.
  • Pet Care Coordination: You know how to manage pet care agreements, ensuring a safe environment for pets residing at the facility, and coordinating with external agencies as needed.
  • Crisis Intervention and De-Escalation: You use self-control when you respond to crisis situations, using effective de-escalation techniques to manage conflicts. You prioritize the safety and well-being of all shelter guests, participants, and staff.
  • Communication and Documentation: Your verbal and written communication skills are smooth, and you believe in accurate documentation for interactions, incidents, service plans. You always report clearly and accurately in compliance with shelter policies and procedures.

HOW WILL YOU MAKE AN IMPACT?
As the Intake Supervisor you will oversee the intake process for guests/participants at the shelter, ensuring accurate record-keeping of all interactions and service provisions, and supporting intake staff in connecting guests with necessary resources and services. You will manage the use of the Homeless Management Information System (HMIS) for data entry and reporting, providing training and guidance to intake staff, and ensuring compliance with shelter policies. You will coordinate with external agencies to maintain a safe and supportive environment for guests/participants and their pets, overseeing the completion of assessments such as the VI-SPDAT. You will play a critical leadership role in ensuring an efficient and effective intake process, facilitating a smooth transition for guests/participants into the shelter, and supporting their pathway toward stable housing.

PRIMARY DUTIES AND ESSENTIAL FUNCTIONS

Guest Intake and Assessment:

  • Conduct initial intake interviews with guests to gather essential information and assess their needs.
  • Complete and update guest records in the Homeless Management Information System (HMIS).
  • Assist guests who have been at the shelter for more than 15 days with completing the VI-SPDAT assessment and engaging with the Continuum of Care for coordinated entry if eligible.
  • The role may require evening and weekend hours based on shelter needs and emergencies.

Data Management and Reporting:

  • Enter daily aggregate census data into the Citywide Emergency Bed Tracker daily.
  • Maintain accurate and up-to-date records of all guest interactions and service provisions.
  • Generate reports as required for internal and external stakeholders.

Coordination of Services:

  • Manage pet care agreements with guests, ensuring compliance with shelter policies and coordinating with appropriate agencies to maintain a safe environment for pets residing at the facility.
  • Collaborate with shelter staff and external service providers to connect guests with resources such as housing, healthcare, and employment services.
  • Assist with scheduling and coordinating appointments for guests with external agencies.

Shelter Operations Support:

  • Assist with maintaining cleanliness and order of the shelter facility.
  • Monitor guest compliance with shelter policies to ensure a safe and supportive environment.
  • Support shelter operations as needed, including assisting with meal distribution, transportation scheduling, and other operational tasks.

Crisis Intervention and Conflict Resolution:

  • Address the immediate needs and concerns of guests during the intake process.
  • Provide de-escalation support and conflict resolution as needed to maintain a safe environment.

Supervisory/Leadership:

  • Supervise and guide intake staff in conducting guest assessments and maintaining accurate records in client management systems (e.g., HMIS).
  • Oversee the administration of assessments, such as the VI-SPDAT, ensuring staff are properly trained and guests are supported throughout the process.
  • Ensure timely and accurate data entry and reporting, including census tracking, meal distribution tracking, and occupancy reports for internal and external stakeholders.
  • Monitor and enhance resource coordination efforts, connecting guests with community services such as housing, healthcare, mental health support, and employment opportunities.
  • Maintain compliance with shelter policies related to pet care and guest agreements, ensuring a safe and welcoming environment for all.
  • Provide leadership in addressing crisis situations, supporting staff with de-escalation and conflict resolution techniques.
  • Coordinate, develop, and implement training programs to enhance the skills and competencies of intake staff.
  • Collaborate with shelter management to ensure cleanliness, safety, and adherence to operational standards within the facility.
  • Evaluate and improve intake procedures to optimize efficiency and guest satisfaction.
  • Act as a liaison between intake staff and other shelter departments, fostering effective communication and collaboration.
  • Identify gaps in shelter operations and design systems and processes to address them effectively.
  • Oversee staffing structure, conduct interviews, and manage the hiring process to ensure adequate staffing levels as needed.

MINIMUM QUALIFICATIONS AND COMPETENCIES

  • High school diploma or equivalent, or experience in lieu of education; additional education in social work, human services, or a related field preferred.
  • Minimum of 2 years in social services or shelter management, with at least 1 year in a supervisory role.
  • Previous supervisory experience in a shelter or similar environment is highly desirable.
  • Previous experience working with individuals experiencing homelessness or in a supportive housing setting is highly desirable.
  • Proficiency in using HMIS or similar client management systems for data entry and reporting.
  • Valid driver’s license and ability to travel locally as needed.
