Job Summary:This position is in charge of entering new quotes and orders into our ERP system and maintaining the information as changes occur. Related to this responsibility will be the complete processing of quotes which will require interfacing with customers, external sales representatives, and internal departments to determine what the full scope of the quote request entails. You will also be required to complete processing (order to shipment) of small off-the-shelf orders in absence of the Order Coordinator. Technical knowledge of the RENA product line is not required but will be useful to the job as experience is gained.
Essential Job Duties and Responsibilities:
  • Verify customer and order information for accuracy, checking it against previously obtained information, as necessary.
  • Obtain customers' names, addresses, and billing information, product numbers, and specifications of items to be purchased, and enter this information into ERP system.
  • Communicate with customers and ex reps to derive information about what needs to be quoted.
  • Efficiently and accurately prepare quotes in response to RFQ specifications.
  • Inform customers by e-mail or telephone of order information, such as unit prices, shipping dates, and any anticipated delays.
  • Inform customers & ex reps by e-mail of quote information.
  • Send order status updates (prepared by others) to our customers.
  • Receive and document customer complaints and respond to such complaints as directed by the direct supervisor.
  • File copies of orders received, or post orders on records.
  • Review orders for completeness according to reporting procedures and forward incomplete orders for further processing.
  • Compute total charges for merchandise or services and shipping charges.
  • Confer with production, sales, shipping, warehouse, or common carrier personnel to expedite or trace shipments.
  • Check inventory records to determine availability of requested merchandise and provide approximate lead times.
Minimum Qualifications (Experience, Skills, and Education):
  • Associates Degree or equivalent experience.
  • 2-years’ experience in a professional business office preferred.
  • Experienced with Microsoft Office® Programs (Word, Excel, Outlook, PowerPoint, & Visio).
  • Experienced in data entry.
  • Excellent verbal and written communication skills.
  • Excellent telephone personality.
  • Highly motivated and detail oriented.
  • Ability to track, remind, and drive others within the department to complete contract related tasks.
  • Ability to handle multiple tasks simultaneously while maintaining extreme accuracy and keeping schedule.
  • Ability to constantly reprioritize tasks to fit the urgency of the situation with little or no supervision.

Physical Requirements & Working Conditions:

Standard office environment including work at a computer terminal. Work involves extended periods of sitting, occasional walking, stooping, bending, and lifting up to 50 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
