Creative Executive Assistant

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Creative Executive Assistant based in Canada.

This role offers the opportunity to become the operational partner of a senior creative executive within a fast-paced, high-growth environment.
You will play a key role in ensuring strategic priorities move forward by managing complexity, protecting focus, and creating structure around high-impact initiatives.
The position goes beyond traditional administrative support, requiring strong judgment, proactive thinking, and the ability to anticipate needs before they arise.
You will collaborate across creative, editorial, brand, and leadership teams to keep communication, workflows, and decisions aligned.

Accountabilities:

The Creative Executive Assistant will act as the operational backbone for a senior creative leader, ensuring priorities are managed effectively and teams remain aligned. This role requires strong ownership, discretion, and the ability to manage both strategic coordination and day-to-day execution.

  • Proactively manage and optimize the executive’s calendar, ensuring time is focused on the highest-impact priorities while filtering unnecessary distractions.
  • Track upcoming commitments, deadlines, and priorities to ensure projects continue moving forward and key actions are completed.
  • Support executive meeting operations by preparing agendas, capturing notes, managing follow-ups, and ensuring accountability across stakeholders.
  • Draft communications, prepare briefs, and manage correspondence with strong judgment regarding escalation and prioritization.
  • Coordinate operational responsibilities including expenses, invoices, travel arrangements, and documentation.
  • Build strong relationships with direct reports, cross-functional partners, and leadership teams to maintain context and facilitate collaboration.
  • Anticipate challenges, identify opportunities for improvement, and create processes that increase operational efficiency.
  • Adapt quickly to changing priorities and support a dynamic working rhythm, including occasional availability during critical business periods.
Requirements:

The ideal candidate is a highly organized, proactive professional with experience supporting senior executives in creative, brand, editorial, technology, or high-growth environments. They combine strong operational skills with emotional intelligence, communication ability, and the confidence to manage complex priorities independently.

  • 5–7 years of experience supporting senior leaders, preferably within creative, brand, editorial, agency, media, or fast-growing company environments.
  • Strong organizational instincts with the ability to anticipate needs, manage priorities, and take initiative without constant direction.
  • Exceptional judgment and confidence to challenge low-priority requests while protecting executive focus.
  • High emotional intelligence and the ability to adapt to different working styles and personalities.
  • Excellent written and verbal communication skills, with the ability to create concise messages, briefs, and executive-level communications.
  • Comfortable working in ambiguous, fast-changing environments where priorities can shift quickly.
  • Strong proficiency with Google Workspace, Slack, and modern productivity tools; familiarity with Figma is an advantage.
  • Experience using AI-powered tools to improve workflows, increase productivity, and support smarter ways of working.
  • Ability to collaborate effectively with senior stakeholders and cross-functional teams.
  • Strong attention to detail, discretion, and ownership mindset.
