Sales & Marketing Department

Tanglewood Resort – Pottsboro, Texas

Position Summary

The Sales Coordinator supports the Sales & Marketing team by handling administrative tasks, coordinating client communications, and assisting with sales activities to maximize resort revenue. This role works closely with resort departments, clients, and the sales team to ensure seamless execution of room bookings, meetings, weddings, conferences, trade shows, and special events while delivering exceptional customer service.

The ideal candidate is highly organized, customer-focused, detail-oriented, and willing to work flexible hours, including weekends and occasional travel for trade shows, promotional events, and off-site sales activities.

Essential Duties & Responsibilities

Sales & Administrative Support

  • Assist the Sales Team in managing and organizing daily activities
  • Prepare, type, and distribute contracts, proposals, banquet event orders (BEOs), invoices, and other sales-related documents
  • Coordinate and schedule sales appointments, client meetings, and property tours
  • Maintain customer databases and update client account information
  • Prepare sales reports, presentations, and correspondence
  • Review all upcoming room blocks and ensure weekly distribution of room block sheets to department heads
  • Support the Sales Team with lead tracking, prospecting, and follow-up communications
  • Assist in maintaining organized sales files and records

Client & Event Coordination

  • Serve as a point of contact for clients and guests regarding group bookings and resort events
  • Coordinate with resort departments to ensure successful execution of meetings, conferences, weddings, and group events
  • Assist with event logistics, rooming lists, meeting setups, signage, and special requests
  • Support banquet and event setup activities when needed
  • Provide exceptional customer service and resolve client concerns in a timely and professional manner

Marketing & Business Development

  • Assist with market research, lead generation, and business development initiatives
  • Participate in outside sales activities, networking opportunities, and promotional events
  • Attend trade shows, industry events, and marketing functions as assigned
  • Assist with trade show preparation, booth setup, promotional materials, and post-event follow-up
  • Support resort marketing campaigns and sales initiatives
Requirements:

Required Skills & Abilities

  • Strong verbal and written communication skills
  • Excellent organizational and time management abilities
  • Strong customer service and relationship-building skills
  • Ability to multitask and prioritize in a fast-paced hospitality environment
  • Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
  • Experience with Salesforce or other CRM software preferred
  • Ability to work independently and collaboratively with multiple departments
  • Professional appearance and demeanor
  • Ability to adapt to changing priorities and business needs
  • Willingness to work weekends, holidays, evenings, and occasional travel as required

Education & Experience

  • High School Diploma or GED required
  • One year certification from college or technical school preferred
  • 1–2 years of hospitality, sales, administrative, or customer service experience preferred
  • Previous hotel, resort, or event coordination experience is a plus
  • Experience with business development or outside sales activities preferred
