What you will do:
The Accounts Payable Associate provides essential administrative and transactional support to the Finance and Accounting team. This entry-level position is responsible for performing routine clerical duties, data entry, and basic financial tasks with accuracy and timeliness. The role is ideal for individuals beginning their career in finance or accounting and offers opportunities to learn and grow within the department
Essential Duties and Responsibilities
- Perform accurate data entry and assist with processing invoices, conducting 3-way matching and entering expense reports into accounting system (QuickBooks).
- Facilitate the vendor set-up process ensuring the completion of key profile details, credit applications and document handling like W9 and banking information.
- Conduct supplier invoice auditing to verify accuracy, compliance with contract terms, and proper cost allocation.
- Prepare basic reports and spreadsheets using Excel or other tools to monitor vendor relationships and maintain clean vendor records.
- Reconcile and monitor vendor statements on a routine basis.
- Maintain organized financial records and filing systems (electronic) including the AP Inbox and SharePoint documents.
- Monitoring AP phone calls and emails when vendors have questions.
- Collaborate with team members to support departmental goals and deadlines.
Required Skills and Abilities:
- Ability to organize and prioritize a high volume of work, meet deadlines and multitask
- Good follow-up skills
- Strong attention to detail and organizational skills.
- Ability to maintain effective working relationships with all team members (accounting department, shipping department, suppliers)
- Effective communication and interpersonal skills.
- Proficient in Microsoft applications (Excel, Word, etc.), and able to learn new systems quickly
Education and Experience
- High school diploma required or equivalent years of applicable experience
- Associate's degree preferred
- Accounts Payable: 1-2 years (Required)
- ERP experience, QuickBooks is a plus
Competencies:
- Learn to use professional concepts. Apply company policies and procedures to resolve routine issues.
- Works on problems of limited scope. Follow standard practices and procedures in analyzing situations or data from which answers can be readily obtained. Build stable working relationships internally.
Working Conditions:
Hybrid Office Environment: This position is primarily performed in a professional office environment with standard lighting, temperature, and noise levels. Three days in-office, two days work-from-home. The role requires prolonged periods of sitting at a desk and working on a computer. The employee must be able to access and navigate office and production areas as needed. The position may also involve regular interaction with internal teams, vendors, and logistics personnel, requiring effective verbal and written communication skills. Standard business hours apply, with occasional flexibility based on operational needs.
