Salary Range: $50,000.00 / Year

Job Description:

Premium Plumbing is seeking a highly organized and detail-oriented Commercial Project Coordinator to support our growing commercial division. This position works directly under the Project Manager and is responsible for maintaining project organization, documentation, coordination, and operational accuracy within ServiceTitan throughout the lifecycle of commercial plumbing projects.

The ideal candidate is proactive, process-driven, highly organized, and comfortable managing multiple moving parts in a fast-paced construction environment. This role is heavily administrative and coordination-focused and plays a key role in supporting field operations, project management, accounting, and overall project execution.

Key ResponsibilitiesProject Coordination & Administrative Support
  • Initiate projects by sending customer “Thank You” and onboarding emails requesting required project documentation

  • Create and organize drawing packets and scope packets for field teams prior to project startup

  • Maintain organized digital project folders and ensure documentation is uploaded accurately

  • Track project-related items including:

  • Change orders

  • RFIs

  • Submittals

  • Permit statuses

  • Approvals

  • Lien releases

  • Notice to Owner (NTO)

  • Notice of Commencement (NOC)

  1. Enter and maintain permit numbers, filing dates, and project-related compliance documentation within ServiceTitan

  2. Assist with preparation and delivery of AIA billing documentation to contractors

  3. Input invoices and project documentation into appropriate project folders

  4. Create and manage reminder tasks within ServiceTitan for pending approvals and outstanding items

ServiceTitan Responsibilities
  • Maintain accurate project information within ServiceTitan throughout the project lifecycle

  • Input and update project-related items including:

  • Change orders

  • Submittals

  • Project documentation

  • Tasks and reminders

  1. Add and assign technicians to jobs

  2. Dispatch technicians as directed

  3. Review and close out technician timesheets for accuracy

  4. Update technician pay scales and labor burden rates when changes occur

  5. Add or modify line items within the ServiceTitan price book

  6. Assist in ensuring dynamic pricing is configured correctly and maintained

Project Support Responsibilities
  • Assist the Project Manager and field supervisors with day-to-day operational coordination

  • Communicate with vendors, subcontractors, field personnel, and office staff as needed

  • Help ensure project-related statuses and documentation remain current and organized

  • Support project closeout processes and administrative completion tasks

  • Identify opportunities to improve workflow efficiency and project organization

Qualifications
  • Experience in construction, plumbing, or commercial project coordination preferred

  • Experience with ServiceTitan strongly preferred

  • Strong organizational and multitasking abilities

  • Excellent attention to detail

  • Strong communication and follow-up skills

  • Ability to manage deadlines in a fast-paced environment

  • Proficiency in Microsoft Office and Google Workspace

  • Ability to work independently while supporting a team environment

Preferred Experience
  • Commercial plumbing or construction industry experience

  • Experience with permits, RFIs, submittals, AIA billing, and change orders

  • Understanding of construction project documentation workflows

  • Familiarity with job costing and labor tracking

  • Experience with accounting coordination and invoice organization
