QAI has an exciting career opportunity within the administration department. The Business Support Specialist position will play a key role in supporting QAI’s business by providing a positive customer experience to both internal and external clients.


The ideal candidate will be someone who is positive, a self-starter, motivated, a good team player an effective communicator,

DUTIES: The successful candidate will perform, but not be limited to, the following duties:

  • Greets customers
  • Answers phone calls
  • Cleans office kitchen
  • Orders office supplies
  • Maintains building repairs and keeps a record
  • Arranges shipments
  • Makes cheque/check deposits daily, as necessary
  • Created PORs and POs
  • Creates and Maintains clients’ profiles daily
  • Creates Work Orders and Deposit Invoices daily
  • Updates and Maintains Backlogs daily
  • Arranges Special Inspections for Burnaby ELE
  • Creates label sales invoices and arranges shipment to customers
  • Maintains label quantities and re-orders labels as needed
  • Conducts label inventory count every 6 months
  • Acts as liaison between clients, sales, operations, and accounting
  • May keep clients updated on project status or email reports to clients
  • Enters/reconciles invoicing from the operations database to the accounting database
  • Under the guidance of the Operations Manager, issues new client/project numbers before work is started on a new project.
  • Assists with Sales and Marketing activities
  • Performs client credit checks and recommends payment terms
  • Running day-to-day activities assigned by the operations manager
  • Client Support
  • Assist in the collection of outstanding accounts and receiving of deposits
  • Works with 3rd party contractors/subcontractors (POs etc.)
  • Assist in inspection scheduling or booking travel arrangements
  • Switchboard relief
  • General scanning and filing work
  • Other duties as assigned by their manager from time to time

QUALIFICATIONS: The successful candidate will:

  • 2+ years' experience as an Administrator or Business Support in a fast-paced office environment
  • Knowledge of administrative and clerical procedures
  • Knowledge of computers and relevant software applications (Microsoft Office)
  • Exceptional customer service skills and professional phone manner
  • Keyboard skills and ability to work with a switchboard
  • Office Administrative Assistant Training/Certificate an asse
  • Ability to function as a team player
  • Prior experience with Zoho will be considered as an asset

Key Technical Competence

  • Possess good communication and organizational skills
  • Able to multi-task with some degree of accuracy and efficiency
  • Understand the departments or areas in which they are assigned and work to improve the process
