About the Position:
The Medication Access Coordinator plays a critical role in ensuring safe, compliant, and efficient medication management across Detox and Residential levels of care. This position supports clinical operations by overseeing medication inventory, facilitating pharmacy coordination, managing prior authorizations, and ensuring timely access to essential medications, including Medication-Assisted Treatment (MAT) therapies. This position works closely with nursing, client services, scheduling, and external pharmacy partners to maintain continuity of care and uphold regulatory standards.
Schedule:
Monday - Friday: 8:00am - 4:30pm
Your Role:
- Monitor and document the daily Residential medication inventory report, ensuring accurate reflection of delivered pharmacy refills and medications administered the previous day
- Manage medication inventory for all clients transitioning from Detox to Residential care, ensuring seamless continuity of treatment
- Perform scheduled medication room audits in accordance with facility medication policies and regulatory requirements.
- Assist with the administration and processing of urine toxicology (UTox) testing samples, including accurate EMR documentation
- Ensure MAT medication logs are updated and accurate across all locations; conduct random audits and track samples for the Medical Director
- Complete prior authorizations for client prescriptions as needed to prevent delays in treatment
- Provide coverage for benefits investigations related to Sublocade and Vivitrol
- Coordinate prescription submission, processing, and delivery of Sublocade and Vivitrol, ensuring timely and accurate arrival; manage reorders or transfers to alternate providers when necessary
- Enroll clients in copay assistance programs to support affordability and access
- Assist Scheduling with retrieving insurance verification and medical information for clients attending outside appointments
- Support referral documentation for the Medical APRN when clients are scheduled for external appointments or hospital transfers
- Maintain strong partnerships with contracted pharmacies to ensure timely ordering, delivery, and resolution of medication-related issues
- Communicate proactively with nursing, providers, and client services to resolve medication discrepancies or access barriers
- Assist newly hired Client Services staff with medication room onboarding, including training on self-administration policies and procedures
- Orient new clients to facility medication processes, programs, and services as needed
- Complete admissions documentation in the EMR, including pharmacy forms, insurance verification, vaccination records, and other required materials
- Ensure all medication-related documentation is accurate, timely, and compliant with facility standards and state/federal regulations
- Uphold all medication handling, storage, and documentation standards in alignment with facility policies, DEA regulations, and state licensing requirements
- Identify process gaps and collaborate with leadership to implement improvements in medication access, workflow efficiency, and client experience
- Support internal audits, accreditation reviews, and compliance initiatives as needed
Qualifications:
- High School Diploma or equivalent required.
- Experience in a healthcare, pharmacy, behavioral health, or substance use treatment setting preferred.
- Knowledge of medication administration policies, controlled substance handling, and insurance authorization processes.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and collaboration skills across multidisciplinary teams.
- Proficiency with electronic medical records (EMR) systems.
Compensation:
The base rate of pay for this position is $24.00 - $26.00 per hour. Actual pay is determined based on a number of job-related factors including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, performance, and working conditions.
