Scanning Specialist / Document Processor

About the Role:
American Retrieval a subsidiary of U.S. Legal Support is seeking a Scanning Specialist / Document Processor to join our team in Plymouth, MN. This role is responsible for processing incoming and outgoing mail, scanning and converting paper documents into electronic files, and handling CDs and electronic file uploads. If you are organized, tech-savvy, and detail-oriented, we’d love to hear from you.

Location: Plymouth, MN
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Work Environment: In-Office
Job Type: Full-Time

Essential Job Functions:

  • Sort and distribute incoming mail; prepare documents for scanning.

  • Operate scanning machines to convert paper files into electronic format.

  • Distribute non-scanned mail to appropriate personnel.

  • Operate mailing equipment and process daily outgoing mail.

  • Archive and purge documents according to established schedules.

  • Process and manage electronic document “buckets.”

  • Audit and upload contents of CDs to ensure electronic file storage accuracy.

  • Follow up on CDs pending password access.

  • Maintain and order scanning room supplies as needed.

  • Perform other duties as assigned.

Requirements:

  • High school diploma or equivalent required.

  • 1–2 years of related experience preferred.

  • Proficiency with computers, Windows Explorer, Microsoft Office, and Adobe Acrobat.

Physical Requirements:

  • Ability to occasionally lift and/or move up to 25 pounds.

  • Visual abilities required: close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Skills:

  • Language: Ability to read and interpret service logs, open orders, and manuals. Capable of preparing reports and communicating effectively by phone, email, and web conference.

  • Mathematical: Ability to perform basic arithmetic including addition, subtraction, multiplication, division, and compute rates, ratios, and percentages.

  • Reasoning: Ability to follow written and oral instructions, understand diagrams, and solve problems in standardized situations.
