&drop is the brand merchandise and promotional products division of ADVOC8 creative agency, serving major brand clients including Google, YouTube, TikTok, and PokémonGO. We specialize in strategic, creative merchandise solutions from complex event kits and experiential programs to comprehensive branded goods strategies. ADVOC8 is searching for a versatile, self-motivated Event Producer who is excited about bringing experiential ideas to life from concept through delivery. This person will own end-to-end production of small to mid-scale experiential projects and lead defined workstreams within larger, more complex programs, ensuring every project is delivered on time, on budget and aligned with client goals. Alongside production leadership, this role will partner with our warehouse and operations team on event kit logistics — from packing and quality control through shipping and onsite readiness — so nothing falls through the cracks between the office and the field. They are detail-oriented, financially disciplined, and care deeply about ensuring our clients always have a positive experience. Comfortable managing vendors, guiding junior team members, and collaborating across internal teams, clients and partners, this is an excellent opportunity for an experienced producer ready to take on greater ownership, complexity and scope.
RESPONSIBILITIESProject & Production Leadership
Own end-to-end production of small to mid-scale experiential projectsLead defined workstreams within larger, more complex programsTranslate creative concepts into actionable production plansEstablish and manage timelines, workbacks and execution frameworksEnsure core project processes are followed (kickoffs, tacticals, recaps, debriefs)Maintain accurate and complete project documentation across all phasesBudget & Financial Management
Build and manage project budgets, estimates and reconciliationsTrack financial performance and flag risks earlySupport margin protection through disciplined financial oversightPartner with internal teams on billing and financial processesVendor & Partner Management
Source, coordinate and manage production vendors and partnersNegotiate scopes, pricing and timelines with guidance as neededEnsure vendor deliverables align with project expectations and standardsCoordinate logistics, fabrication and technical production elementsClient Communication & Partnership
Serve as production lead for assigned projects and workstreamsCommunicate timelines, logistics and execution details clearlyPartner with Client Services to ensure aligned communicationParticipate in client meetings and presentations as production lead or contributorCreative & Cross-Functional Collaboration
Partner with Creative and Client teams to ensure concepts are feasible and aligned with budgetProvide production-informed input during concept development and executionEnsure alignment across Production, Creative and Client Services throughout the project lifecycleEvent Kit & Warehouse Logistics
Partner with our fulfillment team to plan and oversee event kit assembly, packing and quality control for assigned projectsEnsure kits are accurately scoped and labeled, anticipating what field teams will need onsite before it becomes a problemCoordinate shipping timelines, load-in/load-out logistics, drayage and advance warehouse needs with vendors and internal operations teamsTrack kit inventory for assigned programs and flag reorder or replacement needsTroubleshoot logistics issues in real time, whether working remotely or onsiteOnsite Execution
Lead or support onsite execution for assigned projectsEnsure execution is organized, safe and aligned with planTroubleshoot issues in real time and maintain professionalism under pressureSupport project close-out and post-event documentationTeam Support & Delegation
Support and guide Associate Producers and Coordinators on assigned projectsDelegate workstreams clearly and ensure accountabilityContribute to team effectiveness through organization and communicationProfessional Development
Stay up-to-date on industry trends, experiences, events and technologySKILLS & QUALIFICATIONS4-7+ years of experience in the experiential production industry or a closely-related field, including experience owning projects end-to-end; previous brand or agency experience preferredDemonstrated experience building, managing and reconciling project budgets, with a strong understanding of margin protectionProven experience sourcing and negotiating with vendors and partners on scope, pricing and timelinesTrack record serving as a client-facing production lead, with the confidence to communicate directly with client stakeholdersExperience guiding, delegating to and supporting junior team members (e.g., Associate Producers, Coordinators)Working knowledge of event logistics fundamentals (load-in/load-out, drayage, advance warehouses, shipping to venues) and comfort coordinating with warehouse/operations teams on kit assembly, packing and quality controlAbility to anticipate on-site production needs from a logistics perspective — you know what a team needs in the field before they askStrong problem-solving skills with the ability to anticipate challenges and find creative solutionsStrong communication skills, detail-oriented, organized and efficientAbility to own and balance multiple projects and meet deadlinesEnjoys research and is willing to put in the extra effort to solve challengesClient facing professionalism, collaborative, self-motivated, and proactive with a positive, solutions-oriented mindsetProficiency in Google Suite, Microsoft PowerPoint, Microsoft Word, and Acrobat, with hands-on experience in project management and time tracking tools such as Monday.com and HarvestCan work flexible hours including some nights and weekendsIs comfortable traveling 30% or more locally, nationally, and internationallyOn site physical demands:Ability to remain in a stationary position for an extended period of timeAbility to lift and/or move boxes and equipment up to 50 lbs. Because the position is tied to a specific project, the role is budgeted as a contract, however there is potential to extend the engagement into a full-time employee role if it’s a great fit.
