Full-Time Temporary Employee | Funding: Grant Contingent | $55,000 Annual Salary + Benefits

Temporary, Funding-Contingent Position

This is a full-time temporary employee position, funded entirely through KGCDC's SBA Congressional Directed Spending award for the September 1, 2026 – July 31, 2027, program period. The position is contingent on continued availability of that funding and is not currently expected to continue beyond July 31, 2027. While the Analyst receives organizational benefits during the engagement period, this position does not carry any expectation of renewal, extension, or conversion to an ongoing position once the program period ends or funding concludes.

Position Summary

The Program Analyst is the operational backbone of the EEIC — ensuring that the day-to-day administrative, data, and financial tracking functions of the Modern Merchant (SBA) Initiative run accurately and efficiently. This is a full-time employee position, reflecting the central and sustained nature of the role across all program tracks throughout the year. As described above, the position is temporary and grant-funded, aligned to the SBA award's program period.

The Program Analyst handles the operational-level financial tasks that support the Program Manager's fiscal oversight, including logging contractor hours, inputting and tracking program invoices in the financial system, matching invoices to contracts and purchase orders, and flagging discrepancies for Program Manager review. Beyond financial tasks, the Analyst maintains participant records, coordinates scheduling, supports SBA reporting, and ensures data integrity across all program activities.

Primary Responsibilities

Financial & Invoice Tracking

  • Log all contractor hours against signed contractor agreements on a monthly basis
  • Input and track program invoices in the financial management system; match invoices to contracts, purchase orders, and approved budget line items
  • Flag any discrepancies, overcharges, or missing documentation to the Program Manager for review and resolution
  • Maintain organized expenditure files with supporting documentation for all program transactions
  • Support the Program Manager in preparing for SBA financial reporting and potential audit
  • Track program income — incubator fees ($375/participant) and bootcamp fees ($50/participant) — and report to accounting
  • Participant Records & Data Management

  • Maintain accurate participant records across all EEIC program tracks — Blueprint Incubator, Deep Dives, Bootcamps, Coaching, Back Office, and Special Generator
  • Manage participant intake documentation, consent forms, and program agreements
  • Attend no less than 50% of each program track (Blueprint Incubator, Deep Dives, Master Classes, and other program events) to support data collection, participant engagement, and real-time record-keeping
  • Configure and maintain the CRM or participant tracking system; ensure data is entered accurately and consistently
  • Track session attendance, coaching hours, and participant milestones for all program tracks
  • Support the independent program evaluator in collecting pre- and post-program assessment data
  • Compile outcome data — businesses launched, revenue, jobs created, capital accessed — for SBA reporting
  • Scheduling & Coordination

  • Maintain the program master calendar across all program tracks and personnel
  • Coordinate scheduling for Blueprint Incubator sessions, Deep Dives, Back Office Coach office hours, and other program events
  • Prepare meeting agendas, take minutes, and distribute action items for program team meetings
  • Coordinate logistics for program sessions including room confirmations, materials preparation, and participant communications
  • SBA Reporting Support

  • Assist the Program Manager in gathering data and documentation required for SBA progress and final reports
  • Ensure participant records, session logs, and expenditure documentation are maintained in a format that supports federal reporting requirements
  • Support compliance with 2 CFR Part 200 documentation standards across all program activities
  • Qualifications

    Required

  • 2+ years of experience in program administration, nonprofit operations, or office management — with demonstrated data entry and records management responsibilities
  • Experience with financial tracking — invoice processing, expense logging, or accounts payable in a nonprofit or government-funded setting
  • Strong attention to detail — ability to identify discrepancies and maintain accurate records across multiple program tracks simultaneously
  • Proficiency with data management systems — CRM platforms, spreadsheets (Excel or Google Sheets), and document management tools
  • Excellent organizational skills — ability to manage multiple priorities, meet deadlines, and keep systems current in a fast-paced program environment
  • Commitment to serving LMI communities — understanding of and respect for the entrepreneurs EEIC serves
  • Preferred

  • Experience in a federally-funded program environment with familiarity with grant documentation and reporting requirements
  • Experience with SBA, SBDC, or community development financial institution (CDFI) programs
  • Associate's or Bachelor's degree in business administration, nonprofit management, or a related field; equivalent experience accepted
  • Bilingual (English/Spanish or English/Amharic) a plus given the service area demographics
  • Employment Terms & Funding Note

    This is a full-time employee position with organizational benefits, funded 100% through the SBA Congressional Directed Spending award and dedicated exclusively to EEIC Small Business Development activities for the program period (September 2026 – July 2027). The position is contingent on continued grant funding and is not currently expected to continue beyond July 31, 2027; any continuation beyond the program period would require identification of a new funding source and a separate hiring action.
