Reports to the Director of Medical Staff Services. Has responsibilities to oversee associate compliance with standardization, implementation, and complete integration of processes within the Medical Staff Services to credential, and re-appoint, and evaluate the clinical privileges and activity of medical staff members and allied health providers. Manages the delivery of Medical Staff Services regarding Credentialing and Reappointment, Physician on-call scheduling, Medical Staff Meetings including Medical Executive Committees for all Beacon hospitals and coordinates these activities with other Beacon entities to integrate and optimize the physician onboarding and credentialing process.

Performs managerial duties by:

    Overseeing the day-to-day business operation and activities of Medical Staff Services Department in accordance with Beacon goals and objectives by: Monitoring, revising, and promoting, as needed, objectives of Medical Staff Services which are in line with overall objectives of Beacon's annual goals. Monitoring and controlling Medical Staff Services department expenditures within budget.
Coordinating activities of assigned Medical Staff Services Coordinators and Credentialing Coordinators associates and delegating responsibilities to appropriate personnel. Ensuring adherence to Beacon policies and procedures by personnel under Manager's supervision. Maintaining overall responsibility for scheduling to provide adequate coverage for Medical Staff Services. Encouraging and following proper channels of communication to report problems or suggested changes and implementing as necessary. Maintaining a safe, clean, comfortable, and quiet environment for patients and personnel; monitoring physical property and overseeing maintenance as necessary. Ensuring that adequate supplies and equipment necessary are provided to associates, coordinating purchase and payment of all department equipment and supplies. Conducting regular department meetings to keep personnel informed of directives, policies, and procedures. Participating in the development and implementation of plans and budgets for Medical Staff Services Department.
    Being responsible for the selection and termination of employees under supervision of the Director, Medical Staff Services. Evaluating the performance of staff being supervised and preparing and administering disciplinary actions, as needed. Assisting in the development of the staff being supervised by orientation, department in-service programs, personal instruction, etc. Effectively communicating benefit programs, personnel policies and practices, and ensuring consistent application of established wage/salary practices.
Supports and Collaborates with the Medical Staff Quality Program by:

    Reporting noted trends and adverse outcomes of quality indicators for the Medical Staff, while maintaining confidentiality of all material. Assisting the Medical Staff in the interpretation of data making recommendations and taking action. Collaborating with the Medical Staff Quality team to develop shared policies and procedures.
Provide Beacon Administration and Medical Staff Financial and Statistical Information Necessary to Make Informed Decisions Regarding the Operation of the Organized Medical Staff by:

    Maintaining excellent working relationship with medical staff leaders and other members of the medical staff. Maintaining excellent communication with administration and other relevant departments. Assisting medical staff members, when requested, and providing necessary reports to medical staff, administration, and other departments as required. Ensuring the communication of information between medical staff departments and the Medical Executive Committee and following through on all recommended correspondence and/or direction; channeling action from one meeting to another. Ensuring proper flow of information between the VPMA's, medical staff officers, and medical staff offices of the hospitals to coordinate policies, procedures, and other plans.
Collaborating with Medical Staff Managers to direct the work of Medical Staff Services office, Including Supervision and Oversight of the Medical Staff Credentialing and Privileging Process by:

    Managing appropriate and timely assessment of appointments, reappointments, to the Medical Staff, as well as delineation of clinical privileges and associated credentialing functions. Working with, H.I.M., 1.5, and finance to coordinate and provide necessary data required for reappointment profiles and/or other specific reviews related to practitioners. Advising VP, Medical Affairs, Director Medical Staff Services, and/or medical staff leadership of any adverse or concerning information received and conducting (or overseeing) additional investigation as required. Promoting and maintaining confidentiality of provider files and all information related to the credentialing process. Consulting with Director of Medical Staff Services concerning any actions related to disciplinary proceedings or adverse actions. Coordinating timely meeting packet preparation (collection, assembly, and distribution) of all Medical Staff meeting agenda packets and maintenance of accurate meeting minutes as well as appropriate and timely follow-up. Managing the integrity of the data within the credentialing software by monitoring associate compliance to the Beacon Data Entry Standards Policy.
Acts as Administrator for Medical Staff Benchmarking and Quality Data by:

    Establishing and maintaining databases required for collection of quality outcome information in conjunction with Information Technology and Quality Management. Performing data abstraction from Medical Records. Overseeing and ensuring the completeness and accuracy of data collection. Managing the integrity of data upload file. Utilizing the database to create and analyze reports. Serving as a liaison for the organization with the software system vendor (for example, troubleshooting and also system upgrades and enhancement). Serving as a liaison between the hospitals and other Beacon entities in the coordination of quality data and credentialing files.
Ensuring Compliance with Internal Standards and External Regulatory Agencies Governing Healthcare Delivery by:

    Maintaining current knowledge of internal medical staff bylaws, rules and regulations, and policies and procedures. Maintaining current knowledge of external accrediting standards as well as state and federal regulatory requirements; and educating the medical staff on changes and updates, identifying the need for amendments to documents such as the medical staff bylaws, rules and regulations, and policies and procedures when required to maintain compliance. Providing medical staff and administration with appropriate interpretation of standards/requirements. Coordinating and participating in development and revision of documents to ensure compliance. Participation in the maintenance of all required medical staff organization documents. Consulting with Director Medical Staff Services concerning medical staff bylaws, rules and regulations, and policies and procedures.
Interacts and Coordinates with Medical Staff Leadership to Ensure that the Organizational Structure of the Medical Staff is in Conformity with the Medical Staff Bylaws and Related Manuals, the Rules and Regulations of the Medical Staff, and the Articles of Incorporation, Bylaws, Policies, Rules and Regulations of the Hospital by:

    Managing the essential medical staff committee structure in conjunction with the medical staff leadership; ensuring that committee appointments are timely, and committee composition is updated as necessary. In collaboration with medical staff leadership, providing orientation materials to new medical staff officers regarding their duties.

Associate complies with the following organizational requirements:

    Attends and participates in department meetings and is accountable for all information shared. Completes mandatory education, annual competencies, and department-specific education within established time frames. Completes annual employee health requirements within established time frames. Maintains license/certification, registration in good standing throughout fiscal year. Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department. Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self. Adheres to regulatory agency requirements, survey process, and compliance. Complies with established organization and department policies. Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience

    The knowledge, skills, and abilities as indicated above are normally acquired through the successful completion of a bachelor’s degree (in Healthcare Administration, Nursing, Business, or related area) and five (5) plus years working with physicians is preferred. In lieu of a bachelor’s degree, candidates with an associate degree and a minimum of ten years of experience in physician relations, credentialing, and/or payor enrollment will also be considered. Valid State issued Driver's License required.
Knowledge & Skills

    Demonstrated computer knowledge of financial systems. Strong interpersonal skills. Strong analytical ability for data interpretation. Strong oral and written communication skills.
Working Conditions

    Routine office environment. Travel between multiple hospitals and physician offices is required.
