Position Overview

The Office Manager plays a crucial role in maintaining an efficient and professional office environment. This role involves managing office operations, assisting with administrative tasks, and ensuring a welcoming atmosphere for employees and visitors. This role is primarily responsible for our Chicago office, but may also have involvement in secondary markets, which today are in Denver and Cleveland. This position is for our Lincoln Park offices (Unit’s 201 and 202). Hours are Monday through Friday from 9am-5pm, with rare exceptions for after-work events.

Key Responsibilities

  • Oversee daily office operations, ensuring an organized, efficient, clean, and well-maintained workplace.
  • Manage office and pantry inventory; conduct regular stock checks and maintain budgets.
  • Office upkeep, keeping the kitchen and sink clean. Loading/unloading dishes as needed
  • Coordinate maintenance, repairs, and office projects; serve as the primary liaison with building management.
  • Manage vendor relationships (cleaning, maintenance, security, suppliers) and maintain vendor records.
  • Maintain office standards, shared spaces, and overall workplace functionality.
  • Maintain office equipment management, such as printers, standing desks, etc.
  • Oversee seating plans, desk allocation, and floor utilization; maintain accurate floor maps and support headcount forecasting.
  • Assist with onboarding, including desk setup, providing key fobs, and welcoming new employees.
  • Greet and set up spaces for visitors, including interviews, clients’ meetings, and professional guests.
  • Act as a fractional assistant to with key executives, including but not limited to assistance with calendars, handling any changes or conflicts, email clean up, expense reconciliation
  • Assist with travel arrangements, including flights, hotel stays, and ground transport.
  • Spearhead company SWAG by ordering, updating the company SWAG website, and adding credits for employees.
  • Proactively elevating the office by noticing imperfections to improve on, office aesthetics, office brand, technology improvements.
  • Supporting and driving company culture and employee experience initiatives, including office events, meals, and perks.
  • Assist with cross-office coordination, special projects and events, maintaining company calendar, ordering lunches for meetings, and ad hoc administrative tasks.
  • Ensuring compliance with office safety and security standards.

Qualifications

  • Highschool diploma or equivalent (associate or bachelor’s degree preferred).
  • 3+ years of experience in office administration, reception, or related roles.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Comfortable partnering cross-functionally with HR, IT, Finance, and Leadership.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Suite (Docs, Sheets, Slides), and office equipment.
  • Professional, proactive, resourceful, and high energy; strong customer service skills.
  • Ability to work independently and handle confidential information.
  • Attention to detail and problem-solving skills.
