Overview

The national offices of the Presbyterian Church (U.S.A.), A Corporation (“A Corp”) “PC(USA)”, based in Louisville Kentucky, serve with mid-councils, congregations, worshipping communities, and partner organizations to carry forth the mission of Jesus Christ. Approximately 400 individuals, diverse in race, age, gender, sexual orientation, faith, skills, and more, come together as colleagues to work for a world where justice reigns, peace prevails, and God’s love extends to all people. This community comprises the staff of national entities: the Presbyterian Life & Witness, the Presbyterian Publishing Corporation, Presbyterian Women, Investment and Loan Program, and the Administrative Services Group.

Basic Commitment: This position calls for a commitment to the mission of the Presbyterian Church (U.S.A.) as noted in its theological confessions, the Book of Order, and the actions of the General Assembly.

Position Purpose:

Assist with programmatic components and coordinate the administrative work for the 1001 New Worshiping Communities programs. Support deployed staff, assist with networks for 1001 office, and provide “central contact” coordination of resources and information.

Roles and Responsibilities (list in order of priority):

  1. Finances: Assists in budgeting process; Reconcile bills and receipts; Voucher and pay invoices;
  2. Contracts: Coordinates contract development and execution within the 1001 office.
  3. Databases: Maintains databases associated with 1001 with most up to date information.
  4. Events: Coordinates event planning for 1001 gatherings and trainings, including registration and housing, printouts, meals, and production scope.
  5. Communications: Responds to 1001 general phone calls, mail and emails and provides 1001 introduction to initial contacts. Responds to frequently asked questions regarding 1001 Worshiping Communities.
  6. Social Media: Manages 2-3 weekly posts for 1001 social media based on priority, and coordinates intra-agency posting. Checks Mighty Networks 2-3 times weekly to provide consistent engagement with constituencies.
  7. System management: Suggests processes to improve communication with constituency.

Essential Position Requirements:

  • 5+ years of related administrative experience in office and/or non-profit environment
  • Process and project management, financial budgeting
  • Ability to handle multiple projects and follow through in a timely manner
  • Demonstrated knowledge of corporate operational procedures
  • Proactive and resourceful. Anticipates potential problems or questions and proposes solutions.
  • Excellent written and verbal communications skills.
  • Diligent editing and proofreading skills.
  • Attention to detail and well-developed organizational skills.
  • Excellent time management and multitasking skills.
  • Strong interpersonal skills.
  • Professional discretion and confidentiality.
  • Strong database skills.
  • Proficiency in Microsoft Office programs.

Required Competencies:

  • Interpersonal Skills: Establishes good working relationship with all others who are

    relevant to the completion of work; seeks and promotes cohesions between 1001 and all levels of the agency; builds appropriate rapport; is approachable.

  • Attention to Detail: Consistently attends to the many small pieces which must be assembled into the project’s whole; follows up on missing or out of balance items; resolves unanswered questions needed to address a problem; keeps the larger picture in mind while tending to the smallest of details.

  • Diligence: Develops and maintains thorough records, including the elucidation of internal procedures necessary to the work. Works with efficiency and follows through to notify staff and constituents when a project has been completed.

  • Project Management: Ability to shepherd scope and goals of various events and projects in advance of deadlines. Develops mastery of administrative flow process.

Physical Requirements:

  • Sufficient mobility and stamina to fulfill the responsibilities outlined above.
  • Flexibility for occasional travel responsibilities during 1001-related events, which may include setting up registration.
