Your Role:
The Surgery Scheduling Coordinator is responsible for coordinating and scheduling surgical procedures while ensuring all clinical, financial, and administrative requirements are met. This role serves as the primary point of contact for patients and physicians, verifies insurance coverage and financial responsibility, ensures compliance with practice protocols, and supports outstanding patient care and customer service.
What You’ll Do:
Review physician surgery requests for completeness and compliance with scheduling protocols
Coordinate surgical location selection based on clinical, financial, and operational criteria
Verify insurance coverage, obtain deductibles and co-insurance, and flag out-of-network plans
Calculate patient financial responsibility and prepare documentation in the EMR
Obtain required clearances, authorizations, and pre-certifications as needed
Confirm surgical requirements, equipment, and staffing availability
Communicate with patients regarding scheduling, financial responsibility, and pre- and post-operative instructions
Enter and maintain accurate surgery and insurance information in computer systems
Ensure required documentation (H&Ps) is received and processed electronically
Serve as primary liaison for patient surgery-related questions
Support site operations, including assisting the Site Coordinator and front desk duties as needed
Maintain compliance with organizational policies, OSHA, and HIPAA guidelines
Demonstrate exceptional customer service and perform other duties as assigned
Experience / Education / Licensure Needed:
• High School Diploma or equivalent.
• Two to three years of experience in medical office experience.
• Strong multitasking, attention to detail, and communication skills
• EMR experience (NextGen preferred)
