ABOUT THE POSITION
Job Summary/Profile:
The People Operations Coordinator provides high-level administrative, coordination, and operational support across hiring, employee relations, and accommodation workflows. This role is designed to absorb time intensive and interruption driven tasks that accompany organizational growth, allowing senior People Operations staff to remain focused on decision-making, regulatory compliance, employee relations strategy, and risk mitigation.
The People Operations Coordinator plays a critical role in ensuring consistency, timeliness, documentation integrity, and positive employee experience—without independently making employment determinations or decisions.
Essential Duties and Responsibilities:
- In a manner consistent with supporting the Life Works mission statement and values,thePeopleOperationsCoordinatorwillbe responsible forthe following:
Hiring & Recruitment Operations Support
- Coordinatespre-employmentandpost offeradministrative steps including reference checks, background checks, fingerprinting appointments, TB and drug screening scheduling, and onboarding documentation.
- Serves as a primary point of contact for applicantsregardinghiring processlogistics, timelines, and next steps,utilizingapproved templates and communications.
- Maintainsaccuratetracking of job requisitions, applicant status, screening milestones, and required hiring documentation within the HRIS and related systems.
- Schedules interviews and interviews panels, distributes interview materials, and ensures interview notes are collected and properly filed.
- Supports internal promotional and leadership hiring processes by coordinatinglogisticsand documentation.
- Partners closely with the Talent & Acquisition Specialist to ensure hiring workflows move efficiently and consistently across all programs.
Employee Relations & Investigation Support
- Provides coordination and logistical support for employee relations matters, including scheduling meetings, preparing files, tracking deadlines, andmaintaininginvestigation records.
- Serves as a secondary People Operations presence during employee interviews whenrequired, under the direction of the Senior Manager of Employee Relations & Development or Director of People Operations.
- Prepares neutral documentation, summaries, and tracking logs related to employee relations processes, ensuring accuracy and confidentiality.
- Maintains organized, secure employee relations filesin accordance withagency policy and legal requirements.
- Supportstimelyfollow-upand documentation completion associated with workplace complaints and corrective action processes.
This position does not issue findings, determine outcomes, or independently manage employee discipline or investigations.
Accommodation & Return‑to‑Work Coordination
- Serves as the intake and coordination point for employee accommodation andreturn‑to‑workrequests, ensuring required documentation is collected and securely stored.
- Schedules and coordinates interactive process meetings and relatedfollow-ups.
- Tracks accommodation timelines, approvals, renewals, andrequireddocumentation in collaboration with senior People Operations leadership.
- Maintains confidentiality and ensures all medical and sensitive documentation is handled in compliance with applicable laws and agency practices.
- Supports consistent communication with employees and supervisors using approved messaging.
Systems, Documentation & Compliance Support
- Maintainsaccurateandtimelyemployee records, files, and documentation within the HRIS and document management systems.
- Supports audits, compliance reviews, and reporting requests by organizing required documentation and tracking completion.
- Assistswith the development and refinement of standardized templates, trackers, and workflow tools for People Operations processes.
- Ensureinformation sharing aligns with “need‑to‑know” standards and confidentiality expectations.

General People Operations Support
- Responds to employee inquiries or routes them appropriately to the correct People Operations team member.
- Collaborates effectively with the People Operations team to support department priorities and workload balancing.
- Assistswithdepartmentinitiatives, process improvements, and employee engagement activities as assigned.
- Performs other related duties as assigned.
POSITION REQUIREMENTS
EDUCATION AND EXPERIENCE:
- High school diploma or GEDrequired.
- Associate degree or coursework in Human Resources, Business Administration, or a related field preferred.
- One to two years of experience in administrative, coordination, human resources, or operations support roles preferred.
- Experience in a regulated environment, healthcare, human services, or nonprofit setting is a plus.
CERTIFICATES, LICENSES, OR REGISTRATIONS:
- Must obtain criminal clearances asrequired. These could include: the Washington criminal history check, FBI criminal history check, and child abuse clearancesin accordance withDSHSand DVRregulations.
- Mustpass a drug screen.
- Valid driver’s license with driving record that meets agency policy.
- Mustmaintainalltraining andcertificationsrequirements each year.
REQUIRED SKILLS AND ABILITIES:
- Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
- Proficient with or the ability to quickly learn applicant-tracking software or other recruitment systems.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple competing priorities in afast paced,interruption drivenenvironment.
- Excellent written and verbal communication skills.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
- Comfort working within structured processes, deadlines, and documentation standards.
- Ability to build positive working relationships across departments and roles.
- Proficiencywith Microsoft Office applications and ability to learn HRIS, applicant tracking, and document management systems.

PHYSICAL REQUIREMENTS:
- Must have adequate vision, reading,writing,and documentation skills and hearing to perform the essential functions of the job.
- Demonstrated ability to adhere to the required schedule for the job.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 20 pounds at times.
- Must be able to access and navigate each program/department as needed.
- May require working under stressful conditions due to deadlines and time constraints.
