About the role
- Keep our administrative operations running smoothly at a social services organization serving adults with developmental disabilities. Ideal for someone who enjoys organizing an office, maintaining accurate files and records, and tracking important dates and deadlines. This is not an accountant or bookkeeper position, but the ideal candidate should have some QuickBooks familiarity and be comfortable assisting with payroll-related tasks. Full-time, Monday–Friday, 8:00 AM–4:00 PM. Starting pay $20/hr plus $0.70/mile reimbursement; benefits after a 60-day period.
What you'll do
- Manage day-to-day office organization and maintain electronic/paper filing systems
- Maintain up-to-date client and employee files; review files for completeness and compliance
- Track expiration dates, renewals, certifications, and other deadlines, and follow up with staff as needed
- Assist with payroll processing and payroll-related data entry using QuickBooks
- Assist with basic invoicing, payments, reimbursements, and financial data entry
- Maintain spreadsheets and tracking logs; prepare routine reports for management
- Support communication and coordination between our Los Angeles and Orange County offices
Qualifications
- Prior office administration or administrative assistant experience preferred
- Strong organizational skills for managing files, calendars, records, and tracking systems
- Basic QuickBooks familiarity preferred (payroll assistance); advanced accounting not required
- Comfortable with MS Excel, Word, email, and electronic filing systems
- Strong attention to detail and ability to manage multiple deadlines
- Able to handle sensitive employee, payroll, financial, and client information confidentially
- Dependable and punctual with limited supervision
- Reliable vehicle with current registration/insurance and a clean driving record
- Ability to complete required background screening
- Available full-time, Monday–Friday, 8:00 AM–4:00 PM
