Job Description
The Communication and Administration Assistant is pivotal to effective communication and smooth operations within the Club. Responsibilities include coordinating monthly meetings with the Board of Directors and Committees, ensuring the timely collection and dissemination of necessary documents, and supporting the Club's Members and Leadership Team. Additionally, they collaborate with the Director of Communications to maintain the Member website and mobile app, assist with weekly and monthly communications to the Membership, and coordinate video content and digital signage updates. Operating under the General Manager's direction, they demonstrate flexibility in scheduling and tasks to uphold the Club's operational excellence. This is a full-time position with excellent benefits.
Job Summary:
Club Governance
- Works directly with the General Manager/COO to facilitate monthly Board of Directors and Committee meetings.
- Assist with collecting Board/Committee documents for the Member website and uploading them to the appropriate areas for viewing during meetings.
- Assist with updating Club governance documents, including the Club Rules, Strategic Plan, and other documents as requested.
- Help facilitate Board of Directors Orientation, Nominating Committee meetings and communications, and other important Club Communications.
Club Communications
Works with the Director of Communications to:
- Maintain the Member and Team Member website, adjusting and adding content to improve communication.
- Assist Members and Team Members with access to the Member website and mobile App.
- Coordinate video content and attend events to provide Club updates, communicate important information to the Membership, and promote events, event recap videos, and Team Member Recruitment.
Club Project Work
- Assist in developing presentations and/or materials for the General Manager, Committees, Working Groups, and the Board of Directors.
- Renderings for the Club's future improvements using Photoshop or other design platforms.
Club Administration
- Works directly with the General Manager and completes other assigned tasks.
- Assists with administrative staff and Club Leadership on various projects as needed.

Preferred Qualifications and Experience
- A college degree in Marketing and Communications is preferred.
- Experience in administration, marketing, and communications is preferred.
- Typical work schedule is Monday through Friday, 9 am – 5 pm, with occasional weekend assignments at Major Club Events, Member meetings, etc.
- Experience with Microsoft 365 Suite (Outlook, Excel, PowerPoint, Forms, Canva, Acrobat, Express, Premiere Pro, video editing, WeVideo, Photoshop, Microsoft Clipchamp, or other video editing software).
