Purpose and Scope:

This position supports the mission of Our Lady of Guadalupe Roman Catholic Parish. The Parish Secretary serves as the primary point of contact for the parish and assists with the daily operations of the parish office while providing administrative, secretarial, and communication support to the Pastor, clergy, and parish staff. The role reflects the hospitality, compassion, and professionalism of the Catholic community.

Essential Job Functions:

  • Serve as the welcoming presence of the parish office for parishioners, visitors, and clergy.
  • Answer and direct phone calls, respond to emails, and take messages as needed.
  • Provide information regarding parish services, sacraments, and pastoral care.
  • Maintain discretion and confidentiality in all interactions.
  • Provide administrative, secretarial, and office support to the Pastor and parish staff.
  • Oversee daily front office operations.
  • Maintain parish calendars, coordinating clergy schedules, meetings, events, and facility use.
  • Assist clergy with correspondence, document preparation, and general administrative tasks.
  • Maintain accurate digital and physical parish records.
  • Collect, edit, and prepare content for the weekly parish bulletin and parish communications.
  • Support parish communications using appropriate platforms and design tools.
  • Maintain parish records and files in an organized and efficient manner.

Additional Job Functions:

  • Perform any job-related duties necessary to ensure the smooth flow of parish operations.
  • Contribute to a professional, welcoming office environment.
  • Maintain positive and collaborative working relationships with clergy, staff, volunteers, and parishioners.
  • Provide occasional schedule flexibility to support parish events or seasonal activities as needed.
Requirements:

Knowledge, Skills, and Abilities Required:

  • Strong customer service orientation with excellent interpersonal skills.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Word and Excel and general office technology.
  • Proficiency with email, databases, and communication tools.
  • Ability to exercise sound judgment and maintain confidentiality at all times.
  • Ability to work independently and collaboratively in a parish environment.
  • Alignment with the mission and values of the Catholic Church.

Minimum Qualifications:

  • Bilingual in English and Spanish.
  • High school diploma or equivalent required.
  • Ability to maintain confidentiality and professionalism in all situations.

Preferred Qualifications:

  • Active, practicing Catholic with parish involvement.
  • Previous experience in an office, administrative, or parish setting.
  • Experience with parish management software or bulletin publishing platforms.

Work Environment:

  • Professional parish office environment with frequent interaction with parishioners, clergy, staff, and visitors.
  • Routine use of standard office equipment including computers, phones, photocopiers, and filing systems.

Physical Demands

• This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
