Job Summary

The Supervisor, Parts Room position will report to the Maintenance Planning, Projects, & Parts Manager and has an integral role within the S. Martinelli & Company Engineering and Maintenance team.

The Parts Room Supervisor plans, organizes, procures, and controls maintenance, repair, and operations (MRO) materials and services to support safe, reliable, and efficient plant operations. This role is responsible for the day-to-day operation of the parts room, including inventory accuracy, proper storage, kitting, and timely issuance of parts to support maintenance, breakdowns, and preventive maintenance activities.

The Parts Room Supervisor ensures critical spare parts are identified, stocked, and maintained in ready-to-use condition, minimizing downtime and supporting equipment reliability. This position works closely with Maintenance, Engineering, and Planning to align inventory levels with PM programs, equipment needs, and production schedules.

In addition, the Parts Room Supervisor manages vendor relationships, purchasing activities, and inventory controls, while actively identifying opportunities to reduce waste, improve material flow, and lower procurement and carrying costs. Accurate documentation, system transactions, and adherence to inventory control standards are essential to this role.

Job Functions

    Manage all aspects of parts purchasing, receiving, storage, and distribution while identifying cost-effective solutions that support maintenance and production needs.Review and process purchase requisitions and purchase orders for accuracy, budget compliance, and adherence to company purchasing protocols.Obtain, evaluate, and compare vendor quotes to ensure technical requirements, delivery timelines, and cost targets are met.Expedite critical maintenance and breakdown-related materials with suppliers and proactively communicate delays or constraints to Maintenance and other requesting departments.Organize, label, and maintain all spare parts and maintenance inventories to ensure safe storage, accurate identification, and efficient retrieval.Establish and maintain accurate stock locations and part descriptions within the CMMS, EAM, and SAP to support inventory control and maintenance planning.Perform and oversee inventory cycle counts, audits, and reconciliations; investigate variances and implement corrective actions as needed.Track and analyze storeroom performance metrics, including stock movement, inventory turns, stockouts, and reorder point effectiveness.Ensure quality and documentation standards are met for all parts acquisition, inventory transactions, purchase requisitions, and purchase orders.Develop, maintain, and improve work instructions and standard operating procedures (SOPs) related to parts procurement, inventory control, and storeroom operations.Build and maintain strong working relationships with vendors, contractors, and service providers to support reliability, responsiveness, and continuous improvement.Coordinate onboarding and documentation of new vendors and suppliers with Accounts Payable, Purchasing, and other internal stakeholders.Review service contracts and supplier agreements for completeness prior to Director approval.Capture, analyze, and report key performance indicators (KPIs) related to inventory accuracy, inventory valuation, service levels, and cost control.Collaborate with Maintenance Management, Planners, and Production Supply Planning to align parts availability with preventive maintenance, planned work, and production schedules.Prepare data analysis and written reports to support decision-making, budgeting, and continuous improvement initiatives.Enforce applicable policies, including the Collective Bargaining Agreement, Plant Rules, Code of Safe Work Practices, and all company procedures.Perform other duties and responsibilities as assigned by Management.
Job Qualifications
    Bachelor’s degree in a related field or an equivalent combination of education, training, and experience3 years of demonstrated experience in purchasing, MRO items, and servicesAbility to interface and negotiate with vendors and suppliersStrong team-building skills with the ability to support and collaborate effectively in a team environmentAbility to uphold the Company's ethical and cultural standardsStrong time management, training, and organizational development skillsStrong mathematical and Microsoft Office skills – Outlook, Word, and advanced ExcelDemonstrated competence in SAP and software applicationsSupervisory experience with non-exempt employeesStrong verbal and written communication skillsStrong problem-solving skillsAbility to organize workload for effective implementation under minimal supervisionExcellent analytical and organizational skillsAbility to drive Company vehicles, possess a valid California driver’s license, and be insurable

Preferred Skills (Not Required)

    Bachelor’s degree in a related fieldExperience in food manufacturing or the agricultural goods processing industryBilingual/biliterate in English/Spanish
