Recruiter & HR Coordinator

Department: Human Resources
Reports To: Head of Human Resources
Employment Type: Full-Time

Position Summary

The Recruiter & HR Coordinator supports the full employee lifecycle, with primary responsibility for recruiting, onboarding, and day-to-day HR administration. This position works closely with hiring managers and the HR team to identify staffing needs, source and screen candidates, coordinate the hiring process, onboard new employees, maintain employee records, and provide general HR support.

The ideal candidate is organized, responsive, comfortable working in a fast-paced environment, and able to balance recruiting responsibilities with administrative HR duties.

Bilingual in English plus Spanish or Chinese (Mandarin) is a plus

Essential Duties and Responsibilities

Recruiting & Staffing

  • Partner with hiring managers to understand staffing needs, job requirements, schedules, and hiring priorities.
  • Post open positions and maintain job advertisements through the company's applicant tracking system and other recruiting channels.
  • Source, screen, and interview candidates for production, technical, administrative, and professional positions.
  • Coordinate interviews between candidates and hiring managers.
  • Prepare and extend employment offers as directed by HR management.
  • Maintain accurate candidate information and recruiting activity within the applicant tracking system.
  • Communicate with candidates throughout the hiring process and provide timely updates regarding their status.
  • Assist with job fairs, open houses, school recruiting events, and other community recruiting activities.
  • Coordinate with staffing agencies when temporary or contract labor is required.
  • Track open positions, candidate pipelines, offers, acceptance rates, and other recruiting metrics.
Onboarding & Pre-Employment
  • Coordinate the pre-employment process for new hires, including background checks, drug screenings, employment documentation, and other required steps.
  • Communicate with new employees regarding start dates, orientation schedules, required documents, and first-day expectations.
  • Prepare new-hire paperwork and ensure required employment documents are completed accurately and timely.
  • Complete and maintain Form I-9 and employment eligibility documentation in accordance with company procedures and federal requirements.
  • Coordinate new-hire orientation and assist employees with completion of onboarding requirements.
  • Work with managers and internal departments to help ensure employees are prepared for their first day.
  • Follow up on incomplete onboarding documentation or outstanding pre-employment requirements.
HR Administration & Employee Support
  • Maintain accurate employee personnel records and HR documentation.
  • Enter and update employee information in the HRIS.
  • Process employee changes, including transfers, promotions, compensation changes, supervisor changes, and other personnel actions.
  • Assist employees with routine HR questions regarding company policies, payroll, benefits, attendance, PTO, and other HR programs.
  • Prepare employment verification letters and other routine HR correspondence.
  • Assist with attendance tracking, corrective action documentation, and employee relations matters as directed by HR management.
  • Support HR with terminations, resignations, and offboarding activities.
  • Maintain confidentiality of employee and company information.
  • Assist with HR reports, audits, recordkeeping, and compliance requirements.
  • Provide general administrative support to the Human Resources department as needed.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent HR or recruiting experience may be considered.
  • 1–3 years of recruiting, HR coordination, onboarding, or HR administrative experience preferred.
  • Experience recruiting in a manufacturing, industrial, warehouse, or high-volume environment is preferred.
  • Working knowledge of general HR practices and employment documentation.
  • Experience with an HRIS and/or applicant tracking system preferred.
  • Strong organizational skills with the ability to manage multiple open positions and administrative priorities simultaneously.
  • Strong written and verbal communication skills.
  • Ability to communicate professionally with candidates, employees, supervisors, and management.
  • Strong attention to detail and follow-through.
  • Ability to handle confidential and sensitive employee information appropriately.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Bilingual English/Spanish is strongly preferred.
Work Environment

This position operates in a manufacturing environment and requires regular interaction with employees, supervisors, and management across multiple departments and shifts. The position may occasionally require participation in recruiting events outside normal business hours.
