FLSA Classification: Non-Exempt

Job Type: Full-Time, On-Site

Schedule: Monday-Friday; occasional flexibility may be required based on executive schedules and business needs.

Position Summary

The C-Suite Administrative/Personal Assistant provides dependable administrative and personal support to the CEO and other members of the executive leadership team as assigned. This role helps keep daily schedules, communications, travel, documents, and personal tasks organized. The successful candidate will be professional, discreet, responsive, and comfortable managing multiple priorities in a fast-paced office environment.


Key Responsibilities

· Manage calendars, appointments, meetings, and routine email communications for the CEO and other assigned executives.

· Coordinate business and personal travel arrangements, including itineraries, transportation, accommodations, and related details.

· Prepare, edit, copy, scan, file, and organize correspondence, reports, presentations, meeting materials, and other documents.

· Maintain business and personal task lists, track deadlines and action items, and provide reminders as needed.

· Conduct basic research, gather information, and organize materials for meetings, travel, purchases, and other assigned needs.

· Collect, organize, and maintain confidential business, financial, and personal records as assigned.

· Draft routine emails, letters, and other communications for review.

· Serve as a professional point of contact for executives, employees, visitors, vendors, and other internal and external contacts.

· Follow up with departments and individuals to collect information, schedule meetings, and help complete assigned tasks.

· Assist with logistics for business, personal, and family appointments, events, and special projects.

· Complete local errands and provide in-person personal assistance as needed, using good judgment and discretion.

· Maintain confidentiality and handle sensitive information with professionalism and care.


Required Qualifications

· Three or more years of administrative assistant, executive support, office coordination, or personal assistant experience; experience supporting a senior leader is preferred.

· Strong organizational, time-management, prioritization, and multitasking skills.

· Clear written and verbal communication skills with professional telephone and email etiquette.

· Proficiency in Microsoft Office and Google Workspace, with the ability to learn additional office and collaboration tools.

· Experience using ChatGPT, Claude, or similar AI tools is a plus.

· Comfort using technology and AI tools to assist with research, drafting, organization, and routine projects.

· Ability to learn new systems and processes quickly.

· Dependable, accurate, resourceful, and able to handle routine matters independently.

· Ability to remain composed, responsive, and dependable while priorities change.

· Professional, courteous, and able to work effectively with different personalities and departments.

· High school diploma or equivalent required; an associate or bachelor’s degree is a plus.

· Must be based in the Houston area and able to work on-site at 3701 Holmes Road, Houston, TX 77051.

· Must have reliable transportation and be able to complete local business and personal errands.

· Must be available for occasional after-hours communication when needed.
