Job Description
The Admin I provides general administrative and office support to ensure the office operates efficiently and professionally. This position is responsible for light office duties, document preparation, communication, meeting coordination, travel arrangements, and general organizational support. The ideal candidate is dependable, detail-oriented, professional, and able to handle confidential information with discretion.
• Scan, copy, print, collate, and organize documents and materials.
• Prepare documents, reports, presentations, and other administrative materials as needed.
• Answer and direct telephone calls using professional and courteous phone etiquette.
• Maintain confidentiality when handling sensitive information, documents, conversations, and correspondence.
• Organize and manage email correspondence, calendars, and electronic files.
• Schedule and coordinate meetings, appointments, and conference calls.
• Assist with meeting preparation, including gathering and organizing materials.
• Arrange business travel, including transportation, lodging, and itineraries.
• Assist with preparing light lunches and refreshments for staff and meetings.
• Help coordinate and set up monthly catering, including ordering, delivery, and office setup.
• Maintain an organized and professional office environment.
• Provide general administrative assistance to staff and management as assigned.
• Perform other light office and administrative duties as needed.
• Strong working knowledge of Microsoft Outlook, including email, calendar management, scheduling, and meeting invitations.
• Basic proficiency with Microsoft Word, Excel, and PowerPoint.
• Ability to scan, print, copy, collate, and electronically organize documents.
• Comfortable learning and using office equipment and administrative systems.
• Ability to perform light office duties for extended periods.
• Ability to lift and carry light office supplies, documents, and catering items.
• Ability to move between work areas to assist with meetings, mail, printing, and office setup.
The successful candidate will be professional, trustworthy, organized, detail-oriented, dependable, discreet, and service-minded, with the ability to interact positively with employees, visitors, vendors, and management.
