About This Position

What You Will Do

The office administrator supports the Lead Office Administrator and provides essential clerical and organizational support to ensure the smooth operation of the office environment. They handle a variety of tasks, including managing communications, scheduling appointments, maintaining files, and providing general support to the office staff. This role is crucial in maintaining a productive and efficient workplace.

What You Will Earn

$22 to $24, depending on experience

Position Type/Expected Hours of Work

This is a full-time position. Monday through Friday. Hours will vary based on client expectations and work availability. Occasional evening and weekend work may be required as job duties demand.

Essential Duties and Responsibilities

Administrative Support

  • Create, edit, and format documents including Excel spreadsheets, reports, and presentations (proficiency in Excel, Word, and PowerPoint required).

  • Track expense reports and submit purchase orders.

  • Submit JIRA tickets for tasks such as ordering gas cards, termination paperwork, written warnings, coaching assignments, reimbursements, and vehicle accident reports.

  • Assist with timekeeping and timecard audits.

  • Order office supplies as needed.

  • Scan and send supervisors’ documents to HR (safety meetings, separation forms, written warnings, etc.).

Team & Communication

  • Communicate with Talent Acquisition regarding staffing needs.

  • Provide support to the Claims Department for customer complaints.

  • Assist the Office Administrator as needed.

  • Support management and supervisors by maintaining teamwork, professionalism, and open communication.

  • Contribute to a positive work environment by giving encouragement, appreciation, and constructive feedback.

Compliance & Operations

  • Maintain a safe, professional workplace and help regulate office atmosphere.

  • Suggest improvements for workflow and team relationships to management.

  • Travel to tax office to renew vehicle registrations.

  • Attend City of Houston property tax meetings as a ULS representative to address asset-related issues.

Qualifications

  2. Strong communication skills
  3. Efficient in Time management
  4. Must have a valid driver's license.
  5. Windows-based general computer skills as well as experience with Microsoft Office & Excel are required.
