Description:

The Executive Assistant & Enrollment Operations Coordinator provides high-level executive support to the Vice President for Enrollment while coordinating administrative and operational functions for the Enrollment Office. Responsibilities include supporting Board of Trustees activities, managing confidential information, assisting with campus visit operations, managing the office budget, and planning departmental events.

Executive Support

· Provide comprehensive executive support to the Vice President for Enrollment, including calendar management, meeting coordination, travel arrangements, correspondence, and project support.

· Prepare meeting agendas, presentations, reports, and supporting materials for internal and external meetings.

· Coordinate and support Board of Trustees meetings and committee work involving the Vice President for Enrollment, including preparation of materials, logistics, and follow-up.

· Handle highly confidential and sensitive information with professionalism, discretion, and sound judgment.

· Serve as a liaison between the Vice President for Enrollment and campus constituents, prospective students and families, alumni, and external partners.

Enrollment Operations

· Coordinate operational activities that support the Enrollment Office and ensure efficient day-to-day functioning.

· Manage the Enrollment Office operating budget, including purchasing, reconciliation, expense tracking, and financial reporting.

· Coordinate office procedures, supplies, and administrative processes to support divisional operations.

· Assist with special projects and strategic initiatives as assigned.

Campus Visit Program

· Serve as an active member of the campus visit team, collaborating to deliver exceptional visit experiences for prospective students and families.

Partner with the campus visit coordinator in individual and group campus visit logistics, including scheduling, communications, event preparation, and day-of operations.

Requirements:

· Associate’s degree or equivalent combination of experience and education.

· Proficient in Microsoft Office professional.

· Professional communication skills, organizational skills and time management skills.

· Ability to work independently and under pressure with flexibility.

· Thorough knowledge of office practices and procedures, working knowledge of budgeting principles.

· Service orientated.
