Position Summary:
The University of New Mexico is seeking a highly motivated, dynamic, detail-oriented, and organized individual to join the Quantum New Mexico Institute (QNM-I) team as a Program Coordinator to support the category 3 center. This position will report directly to the QNM-I Sr. Program Manager.

The Quantum New Mexico Institute, one of UNM's Category III research centers, advances quantum information science and technology through collaborative research, education, and workforce development. The University of New Mexico's Category III research centers and institutes focus on interdisciplinary research that extends beyond the traditional boundaries of a single discipline, department, or college. UNM has 11 Category III research centers and institutes, which have elevated the University's interdisciplinary research landscape by exploring new questions to create new knowledge; developing cutting-edge technologies; collaborating with industry and community partners; providing unique opportunities to students at all levels; and changing the world around us.

The selected candidate will coordinate, oversee, and/or perform a wide variety of administrative, secretarial, and program support activities, especially related to event coordination. Additionally, they will plan and coordinate the day-to-day administrative and operational activities of QNM-I programs and initiatives. This is a Term, full-time, benefits eligible position with funding available for one year from hire. Continuance beyond that date is subject to the availability of additional funding. This position may require limited travel within New Mexico.

Key duties and responsibilities
  • Event coordination: work with the QNM-I Director, QNM-I Program Manager, QNM-I related faculty, as well as some work with the OVPR Admin Team, in arranging logistical aspects of small to large events including; special guest and distinguished speaker visits and meetings, tours, trainings, team facilitation, workshops, and others. Plan and implement meeting and event logistics such as scheduling, invitations and registrations, catering, securing venues, AV and online meeting support, preparing materials, communication with speakers and attendees, creation and distribution of meeting minutes, post-event surveys, and related tasks as needed.
  • Communications: Work with the OVPR Communication & Marketing Manager to write, edit, and coordinate development of promotional materials, educational materials, training manuals, newsletters, press releases, and/or brochures, as appropriate. Provide presentation support, including formatting, editing, design, organization, and version management to ensure high-quality, professional materials for internal and external audiences.
  • Website management: Publish updates to QNM-I website as needed.
  • Fiscal duties: Assist with purchasing supplies for events and programmatic needs, obtain a university purchasing card, keep track of spending and monitor accounts monthly, and other fiscal duties as assigned. Serve as backup to sr. fiscal services tech for purchasing.
  • Records maintenance: Assist with data collection and maintain records related to QNM-I and programmatic activity.

Will be asked to perform miscellaneous job-related duties as assigned.

Conditions of Employment:
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Preferred Qualifications:
  • Proficiency or advanced skills with Microsoft Office Suite and Adobe Acrobat
  • Experience with academic event planning
  • Experience scheduling and coordinating meetings
  • Outstanding verbal and written communication skills
  • Experience with HTML, Cascade, or other website development resources
  • Experience with or the ability to quickly learn university financial systems and procurement practices, including P-Cards, purchasing, special exceptions, Chrome River, time sheets, and travel reimbursement processes
  • Demonstrated time management skills, with excellent coordination and ability to follow through
  • Knowledge of basic program management techniques including preparation of timelines, Gantt charts, development and tracking of metrics, and assisting in the preparation of program reports
  • Experience with project scheduling software (ex. Microsoft Project, Primavera, Smartsheet, etc.)
  • Excellent interpersonal, teamwork, and problem-solving skills
