Job Description

Requisition ID: req37459

Working Title:
Program Coordinator

Position Grade:
10

Position Summary:
The Center for Development and Disability (CDD), established in 1990, is New Mexico's University Center for Excellence in Developmental Disabilities Education, Research and Service. These centers, authorized by the Developmental Disabilities Assistance and Bill of Rights Act, build the capacities of states and communities to respond to the needs of individuals with developmental disabilities and their families.

The CDD Prevention Unit operates three evidence-based home visiting programs: Nurse-Family, Parents as Teachers, and Healthy Families America. These community-based services provide critical support for vulnerable pregnant women, infants, and toddlers. As part of these services, we maintain extensive data into two database systems to track services, ensure we meet state and national benchmarks, and maintain fidelity to the models.

The Program Coordinator will be responsible for:

Organizing, auditing, and entering all HIPAA-compliant data from the evidence-based programs into two database systems: a state database and a national database. This includes, but is not limited to, intake paperwork, perinatal depression screenings, child development screenings, parent-child interactions screenings, the DANCE/PICCOLO, and intimate partner violence screenings.

Prepare documents for Operations Director for submission to the state funder. Tracking quarterly reports ensuring all data is accurate and communicating with direct service providers to update data as needed. Working closely with administrative support staff to manage and update reports. Audit caseload and productivity reports to ensure timely services and compliance with funder benchmarks.

Oversee record-keeping including completion of physical HIPAA compliant files, regular audits of files, archiving closed files with external company, and preparation of storage. This could include the supervision of a work study student.

Tracking and ordering inventory/supplies as required by the programs ensuring staff have the supplies required for service delivery. Communicating and working collaboratively with direct service staff to ensure they have access to inventory.

Monitor program activities including tracking new referrals and updating enrollments. This requires working with an external Am I Eligible (AIE) database system run by ECECD.

The successful candidate will have the following qualities:
  • Positive and flexible attitude, ready to help.
  • Ability to work in an environment that supports individuals with development disabilities, children at risk and families in need.
  • Punctual and reliable attendance.
  • Advanced organizational and time-management skills.
  • Adaptable to change with a strong work ethic.
  • Effective communication skills as demonstrated through the interview process.
  • Sensitivity and awareness when working with confidential information. Adherence to HIPAA (will be trained).

See the Position Description for additional information.
