About the Role:
The Operations Assistant plays a key role in supporting the administrative and business functions of a school dining operation. Working closely with the Food Service Director and District Manager, this position is responsible for ensuring the accuracy and timely completion of payroll, invoice processing, cash reconciliation, catering billing, onboarding paperwork, and other operational reporting requirements.
This role is ideal for a highly organized, detail-oriented professional who enjoys working behind the scenes to keep a busy operation running smoothly. By managing critical administrative functions, the Operations Assistant allows the management team to focus on delivering exceptional food, service, and experiences to the communities we serve.
Essential Duties and Responsibilities
Administrative & Financial Support
- Process and enter invoices accurately and timely.
- Complete weekly and monthly catering billing and reconciliation.
- Assist with cash management processes including daily deposits, revenue logs, vending revenue, and student prepayment tracking.
- Maintain required operational records, reports, and documentation.
- Support the completion and submission of all company-required daily, weekly, and monthly paperwork.
- Review payroll timecards for accuracy and communicate discrepancies to management.
Human Resources & Onboarding Support
- Assist with new hire screening and interview coordination.
- Coordinate onboarding paperwork and personnel file documentation.
- Ensure new hire documentation is completed accurately and submitted within established timelines.
Operational Support
- Provide administrative support to the Food Service Director and District Manager.
- Assist with opening and closing responsibilities as needed.
- Maintain effective communication with management, team members, school personnel, catering customers, and Quest corporate departments.
- Support special projects and operational initiatives as assigned.
- Collaborate with other Quest locations and management teams when business needs require additional support.

Preferred Qualifications
- Previous administrative, office support, bookkeeping, payroll, or coordinator experience.
- Strong organizational and time management skills.
- Experience working with invoices, payroll records, cash reconciliation, or financial reporting.
- Proficiency in Microsoft Office, particularly Excel and Outlook.
- Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
- Strong communication and customer service skills.
- Experience in foodservice, hospitality, education, or multi-unit operations is preferred.
