Role Overview

We are seeking a Project Coordinator Co-op to support our delivery pods as they execute high-impact Shopify Plus implementations for our enterprise clients. At Teifi, our Co-op will work closely with Project Managers and pod teams, gaining hands-on exposure to how a digital agency delivers complex e-commerce projects. This is a great opportunity for a student to build real, practical project management and client-services experience, with meaningful ownership of tasks from day one.

Key Responsibilities

Client & Stakeholder Support

  • Help prepare materials and agendas for client meetings and status calls
  • Take meeting notes and help track action items to completion
  • Support scheduling and logistics for client and internal meetings

Project Coordination

  • Support project onboarding activities, including documentation setup and kickoff scheduling
  • Help maintain and update project schedules, milestones, and task trackers under PM guidance
  • Monitor task and ticket status across the pod, flagging anything that looks delayed or stuck
  • Support light resource and capacity tracking across active projects
  • Help log and track change requests as they move through review

Agile & Delivery Support

  • Help schedule and organize agile ceremonies (sprint planning, stand-ups,
  • retrospectives)
  • Keep sprint boards and tickets in Linear/Jira up to date
  • Pull basic delivery metrics (e.g. sprint velocity, task completion) for PM review
  • Financial & Administrative Support
  • Help track timesheet submissions and follow up on outstanding entries
  • Support compiling budget actuals vs. forecast data for PM review
  • Assist with organizing invoicing documentation and tracking billing milestones
  • Help keep project documentation (including the RAID log) organized and up to date

Reporting

  • Help compile weekly client status report content from the pod
  • Support internal reporting on project health for leadership review

Team & Process

  • Help onboard new team members to project tools and documentation
  • Support scheduling and coordination across the pod
  • Participate in retrospectives and process improvement discussion

Qualifications

  • Currently enrolled in a post-secondary program (Business, Commerce, Operations, or related field), seeking a co-op/internship term
  • Strong organizational skills and attention to detail
  • Comfortable managing multiple small tasks and deadlines at once
  • Clear written and verbal communication skills
  • Interest in project management, e-commerce, or digital agency work
  • Familiarity with tools like Google Workspace, Slack, or project trackers is an asset; no prior professional experience required
  • Eagerness to learn, ask questions, and take initiative
